Our client, the oldest Reform synagogue in New York City is seeking an Administrative Assistant to support the Clergy. • This is a perm position., • The work schedule is Monday – Friday, 9am – 5pm (35-hour work week), • The annual salary is $63,000 Job Description The ideal Clergy Administrative Assistant will be an energetic, positive professional who brings experience in administrative skills. The Clergy Administrative Assistant will have a vital role in supporting innovative programs run by our Temple clergy. The ideal candidate is a self-starter who enjoys collaborating with fellow staff members and working with people of all ages. In addition to programmatic work, the Administrative Assistant will assist with all administrative tasks to support the clergy. As part of the responsibilities of this role, you will be required to work some evenings, weekends, and/or holidays. As an Administrative Assistant, your contributions are vital to the success of the temple, and we appreciate your willingness to be available during these times when necessary. Candidates must be comfortable working in a Reform synagogue and able to represent the synagogue in public settings. Essential Functions and Responsibilities: Administrative Support for Clergy: General Clerical Duties: • Schedule appointments and conferences, manage calendar, • Perform basic bookkeeping duties such as managing receipts, • Arrange travel logistics for staff and guests, • Handle emails and written correspondence, • Manage document reproduction and digital records, • Maintain office supplies inventory Meeting Support: • Take notes during meetings, document discussions, • Transcribe and edit meeting memos Programmatic Responsibilities: • Manage registration and administration for classes and programs, • Anticipate upcoming tasks and events proactively, • Ensure venue reservations and arrangements, • Assist in promoting events or programs, • Collaborate with Communications to create and distribute event materials Efficiently manage scheduling and calendars, • Manage registration and administration for classes and programs Membership Interaction: • Communicate with members, address inquiries promptly, • Handle challenging situations professionally, • Provide phone coverage, manage correspondence and inquiries Additional Responsibilities: • Provide support to Senior Rabbi when the Senior Administrative Assistant is unavailable Qualifications • Bachelor’s degree required, • Experience in program development and administration, • Self-directed and able to work without supervision, • Outstanding written, verbal, and interpersonal communication skills, • Strong proficiency in Microsoft Office (Word, Excel, Outlook) Google Workspace, email marketing platforms (e.g., Mailchimp, Mailjet), ticketing systems (e.g., TicketLeap), and data management software; ability to quickly learn new systems, • Experience with Canva or similar design platforms, • Effectively sets priorities and manages multiple tasks, with attention to detail, • Is a team player, works collaboratively with co-workers, congregants, • Candidates must be organized, detail-oriented, flexible, reliable, courteous, and kind
