Job Description Job Title: Contract Administrator Location: Tupelo, MS This position is to preserve the company’s integrity by ensuring risk management policies and procedures are implemented and followed in accordance with the company policies and procedures. Primary Duties: • Organize, prepare, submit, and track subcontracts and change orders, supply agreements, purchase orders and purchase order change orders., • Organize and control job specific subcontractor/vendor files electronically, • Review trade partner insurance, license(s) and bonds as per company requirements, • Monitor trade partner insurance, license, bonds, and all compliance requirements in Viewpoint and Project Sight, • Obtain new vendors set up forms from new vendors to be set up in our accounting system, • Attend 2-Day Preconstruction, Out of the Gate, Close the Gate, and other necessary meetings, • Ensure subcontract commitments are completed/accepted in Textura to prepare trade partner for billing, • Assist Project Manager with Subcontractor monthly pay applications via Textura for approval by Project, • Ensure all compliance requirements are current and updated, • Review and confirm required sworn statements and required releases are obtained and uploaded to Textura, • Assist Controller in compiling required backup to support the billing in accordance with contractual obligations, • Function as a point of contact for internal personnel to address concerns relating to subcontractor billings, • Serve as liaison between accounting and external parties, including clients, suppliers, and subcontractors., • Demonstrate Yates Core Values and Principles, • Follow Yates Code of Conduct, • Safety Responsibilities and Expectations, • Responsible for refusing unsafe work and for carrying out all work in accordance with the established Yates Safety Procedures and Work Practices, • Report all incidents, near hits and hazards to management., • Required to wear and maintain personal PPE., • Advise fellow employees of hazardous situations., • Participate in workplace inspections., • Comply with statutory requirements, including duty of care., • Participate in required and/or assigned training., • Provide suggestions to improve Safety., • Present a mature approach to working safely., • Attend prestart and Safety meetings and contribute., • Assists with administering the site safety program as required and ensuring Trade Partner compliance with OSHA standards and Yates Site Specific Requirements and all applicable safety codes and regulations., • undergraduate university degree or higher (preferably in Construction Management, Business Law, or Business Administration), • Other relevant education, training or work experience may substitute for bachelor’s degree, • Result-driven individual with high energy and an unwavering commitment to quality., • Computer literate; Microsoft Office Software, Microsoft Outlook, Microsoft Project, Viewpoint, CDM, Adobe Acrobat and other specific software applications., • Strong working knowledge of ERP cost management tools, • Well-rounded base of knowledge in engineering or construction disciplines, • Have both internal and external contacts, • Internal contacts are with fellow department staff and own supervisors, as well as the accounting and risk management departments, • External contacts are with clients, subcontractors, and vendors., • Effective communication skills both verbally and in writing with superiors, colleagues, clients, and individuals inside and outside the Company, • Ability to work with minimal supervision, • Effective critical thinking skills, • Effective in a team environment and adaptable, • Organizational skills required, • Conflict resolution, • Flexibility, reliability, and the ability to focus, • Excellent written and verbal communication skills This role operates in both office and active construction site environments. Candidate must be able to perform site walks, attend field meetings, and ensure on-site safety and compliance.
