Reports to Head of School Full-Time | Exempt Supervises: Finance & Human Resources Coordinator, Administrative Assistant (Front Office), Maintenance Manager Position Summary: The Operations and Finance Director (OFD) serves as a senior administrative leader responsible for the school's financial stewardship, operational effectiveness, regulatory compliance, and support services. This position integrates oversight of budgeting, accounting coordination, payroll support, tuition and family accounts, human resources processes, facilities, transportation, health and safety procedures, vendor relationships, and daily campus operations. The OFD ensures that the school's systems, people, and resources are aligned to support student learning, staff effectiveness, and the school's Christian mission. ESSENTIAL JOB FUNCTIONS Leadership and Supervision • Provide leadership and accountability for bookkeeping, operations, maintenance, custodial, and transportation personnel., • Develop clear procedures, workflows, and communication systems to support efficient school operations., • Coordinate cross-functional operational priorities in collaboration with the Head of School and other school leaders., • Support hiring processes, onboarding logistics, training coordination, and performance accountability for supervised personnel., • Provides supervision of the Finance & Human Resources Coordinator, the Administrative Assistant (Front Desk), and the Maintenance Director. Finance and Budget Management • Oversee the school's day-to-day financial operations, including accounts receivable, accounts payable, tuition billing, family accounts, collections coordination, and vendor payments., • Supervise bookkeeping functions and ensure accurate, timely maintenance of financial records and supporting documentation., • Develop and manage the annual budget, monitor departmental spending, identify variances, and provide regular financial reports to school leadership and the board, as assigned., • Support payroll processing, benefits administration, compensation planning, cash-flow awareness, and year-end financial preparation., • Administer financial aid and scholarship processes, including programs such as Utah Fits All and Carson Smith Scholarships, as applicable. Human Resources and Administrative Compliance • Maintain employee records, compliance files, and background check tracking; prepare contracts and letters of intent., • Coordinate onboarding and offboarding processes and ensure required employment documentation is complete and current., • Help ensure compliance with applicable school policies, employment practices, and operational reporting requirements. Operations, Facilities, and Campus Support • Oversee daily operational execution to support a safe, efficient, and orderly school environment., • Coordinate building use, event logistics, room scheduling, shared-space needs, and vendor services., • Supervise maintenance and custodial operations to ensure campus cleanliness, functionality, safety, and timely completion of work orders., • Support long-range facilities planning, preventive maintenance efforts, and capital improvement coordination., • Oversee technology support of online academic programs such as Utah Online School, ASU Online, and the online components of the elementary curriculum., • Oversee lunch program operations, selected school events, and other support services as assigned. Transportation and Safety • Oversee student transportation services, route coordination, vehicle readiness, driver scheduling, and transportation communication., • Ensure maintenance, registration, and safety compliance for school vehicles and transportation procedures., • Provide leadership for campus safety protocols, emergency drills, incident documentation, health compliance tracking, and related operational safeguards., • Coordinate required health and safety processes, including student records compliance, screenings, and reporting obligations, as applicable. Technology and Vendor Coordination • Partner with designated technology vendors and internal stakeholders to support reliable systems for school operations and learning., • Coordinate operational vendors, purchasing, licenses, renewals, and selected schoolwide program accounts., • Promote data accuracy, appropriate confidentiality, and responsible stewardship of school information systems. Confidentiality, Accuracy, and Compliance Support • Handle sensitive financial, personnel, and school information with a high level of confidentiality, discretion, and professionalism., • Help maintain accurate records and administrative procedures that support compliance with school expectations, employment requirements, and operational processes., • Follow established procedures and provide timely administrative support to ensure orderly, accountable operations., • Exercise sound judgment in handling confidential communications and documentation. Additional Job Responsibilities • Provide responsive support to students, families, faculty, staff, vendors, and board representatives in matters related to finance and operations., • Assist the Head of School with special projects, reports, planning tasks, and administrative assignments as needed., • Participate in meetings, board reporting cycles, and occasional evening or weekend events as required., • Maintain confidentiality, exercise sound judgment, and represent the school with professionalism and grace. Ministerial Duties • Support the spiritual mission of the school by carrying out responsibilities in a manner consistent with Scripture and the school's Christian worldview., • Integrate biblical principles into leadership, stewardship, communication, and decision-making., • Lead or participate in prayer, devotions, chapel, spiritual life activities, and other ministry opportunities as assigned., • Model Christian conduct, encourage faith formation, and contribute to a Christ-centered culture for students and employees., • Support discipleship and spiritual encouragement of students and staff through relationships, presence, and faithful example, as appropriate to the role. Physical Requirements • The employee must be able to perform the essential functions of the position, with or without reasonable accommodation, in a dynamic school environment., • This position requires frequent movement between offices and other campus locations; the ability to sit, stand, walk, bend, and reach for sustained periods during the workday; and the ability to operate standard office and school equipment., • The employee must be able to lift and carry routine materials, files, supplies, and other items typically associated with school operations, generally up to 25 pounds, and occasionally more with appropriate assistance., • The employee must also be able to respond in a timely and appropriate manner to routine clerical, operational, and school-safety matters as they arise. Work Environment • School-based, fast-paced environment with frequent interaction with students, families, faculty, staff, vendors, and board members., • This is a full-time, 12-month position and may require evening, weekend, or limited holiday/vacation-period responsibilities related to payroll, events, board work, emergency response, or operational needs.
