We're looking for someone incredibly organized, process-driven, and detail-obsessed to join our team in NYC. This is a cross-functional role at the heart of our operations. We are seeking a highly organized, analytical, and proactive professional to oversee diamond and gemstone inventory, production coordination, and logistics operations. This role combines hands-on operational ownership with strategic reporting and performance analysis to improve inventory efficiency, strengthen vendor accountability, and support better business decision-making. San Francisco is our first West Coast market, and we’re excited to build a presence that matches the creativity and innovation of the Bay Area. ⸻ Key Responsibilities Inventory, Diamond Management & Analytics • Maintain precise tracking of diamond and gemstone inventory, including carat weight, specifications, certification numbers, costs, vendor status, and movement history., • Monitor inventory levels, aging, and availability to support purchasing, allocation, and return decisions., • Analyze stone usage, turnover, and cost trends to identify opportunities to improve inventory efficiency and reduce capital tied up in slow-moving stock., • Manage supplier agreements, track deadlines, and coordinate returns., • Coordinate stone deliveries with suppliers and couriers while maintaining chain of custody documentation., • Organize and maintain stone certificates and authentication records., • Prepare regular inventory reports to support leadership visibility into stock position, value, and risk. Production Coordination & Operational Planning • Track all active projects against production milestones to ensure timely completion., • Coordinate across designers, jewelers, and vendors to keep timelines aligned and priorities clear., • Flag delays early, identify root causes, and help implement solutions to keep projects on track., • Monitor workflow patterns and recurring bottlenecks, providing recommendations to improve production planning and execution., • Support cross-functional operational planning by aligning production timelines with business needs and client commitments. Shipping, Packing & Logistics • Pack high-value jewelry pieces to ROEN standards with exceptional attention to presentation, accuracy, and security., • Manage shipping logistics, including insurance, signature requirements, tracking, and courier coordination., • Coordinate local deliveries, pickups, and messenger services with urgency and care., • Manage calendars for client pickups, deliveries, and operational deadlines., • Track shipping performance, delivery outcomes, and service issues to improve reliability and accountability. Administrative, Financial & Compliance Support • Maintain insurance documentation for inventory and shipments., • Reconcile inventory costs with sales to support financial reporting and margin visibility., • Maintain accurate, audit-ready records across inventory, shipments, and supplier activity., • Build and maintain operational reporting on inventory movement, project status, vendor performance, and shipment activity., • Support leadership with data-driven insights related to stock valuation, cost trends, and operational performance. ⸻ Who We’re Looking For • Exceptionally detail-oriented and highly organized, with the ability to manage multiple moving pieces without losing accuracy., • Trusted to handle high-value inventory with professionalism, discretion, and a strong sense of accountability., • Proactive and solutions-oriented, with the judgment to identify issues early, anticipate next steps, and help prevent delays before they impact the business., • A clear and confident communicator who can work independently, coordinate across teams and external partners, and maintain follow-through without close oversight., • Interested in fine jewelry, craftsmanship, and the luxury space, with a genuine desire to learn the product, the process, and the industry., • Comfortable working with inventory management systems, CRM platforms, and operational tracking tools; experience with Monday.com is a plus., • Analytical and process-minded, with the ability to use data and reporting to support operational decisions, improve workflows, and maintain visibility across inventory and production., • Based in New York City and available to work in-office five days per week.
