Summary of Position Duties and Responsibilities Responsible for overseeing and administering all payroll operations for the Museum, ensuring employees are paid accurately, on time, and in compliance with all federal, state and local regulations. This role manages end-to-end payroll processing, maintains payroll records and reporting, supports tax withholdings and filings, and partners closely across all departments and with Human Resources to ensure accurate employee data, benefits and deductions processing, and overall payroll integrity. Also serves as a key point of contact for payroll related inquiries, supports audits and year-end processes, and helps strengthen payroll practices to support a positive employee experience. Responsible for an array of bookkeeping duties and provides support to the Director of Finance. The role includes responsibility and accountability in accurate posting of all accounts receivable/payable in QuickBooks. Assists with preparing monthly reports for the Museum’s Finance Committee and provides additional clerical duties as assigned Essential Duties and Responsibilities • Ensure compliance with all applicable federal, state, and local payroll, wage and hour., • Maintain strict confidentiality and security of payroll and employee information and ensure appropriate data access controls., • Manage end-to-end bi-weekly payroll processing for the Museum, ensuring accurate and timely pay for all employees (hourly, salaried, part-time, and seasonal as applicable)., • Review and submit for approval payroll-related changes including new hires, terminations, pay rate changes, job changes, and leave impacts., • Administer payroll deductions and withholdings, including benefits, retirement contributions, garnishments, and other authorized deductions., • Coordinate with department leaders and Human Resources to ensure accurate timekeeping, scheduling inputs, and employee data integrity., • Process off-cycle payrolls and adjustments as needed (final payments, retro pay, reimbursements, etc.)., • Reconcile payroll registers, payroll liability accounts, and general ledger entries; partner with Finance on payroll journal entries and month-end close., • Oversee payroll tax filings and payments, including quarterly and year-end processing through ADP (W-2 preparation and distribution)., • Serve as the primary point of contact for Museum staff regarding payroll questions, discrepancies, and resolution of issues in a timely and professional manner., • Manage payroll system configuration and ongoing maintenance, including updates, testing, and process improvements., • Establish and maintain payroll procedures and internal controls to support accuracy, confidentiality, and risk mitigation., • Support internal and external audits related to payroll, tax reporting, and financial controls by providing accurate records and documentation., • Prepare payroll-related reports and summaries to support budgeting, grant reporting, leadership requests, and operational planning., • Checks figures, postings and documents for correct journal entry, mathematical accuracy and proper codes., • Assists in budget preparation and review., • Compiles statistical, financial, accounting or auditing reports and tables on assigned topics, including the operating budget, cash receipts, expenditures, accounts payable and receivable and profits and losses., • Ability to process journal entries throughout the month in preparation for the month end closeout., • Knowledge of payroll processing, payroll tax, and wage and hour compliance (federal, state, and local)., • High attention to detail with excellent accuracy in data entry, calculations, and audits/reconciliations., • Advanced ADP payroll processing experience is essential., • Requires knowledge and understanding of generally accepted accounting practices and procedures., • Requires ability to manage and protect confidential information., • Requires basic proficiency in math and finance., • Requires proficiency in QuickBooks and Microsoft Office Suite, and an ability to adapt to new software as required., • 3-5 years of payroll processing experience with a strong understanding of compliant payroll practices., • Bachelor’s degree in accounting, Finance, or equivalent experience., • Payroll certification (CPP, FPC, or similar) preferred., • Requires computer proficiency (Microsoft Office Suite, email, CRM systems), • Requires the temperament to work in fast-paced work environment under frequently changing conditions., • Requires excellent oral and written communications skills., • Must be able to read, write, and communicate effectively in English to perform essential job duties., • Requires ability to work effectively both independently and as part of a team environment., • Ability to work indoors in a climate-controlled environment and in close proximity to other people, sitting / standing for long periods of time., • Ability to occasionally lift 15 pounds., • Full Time Benefits • Subsidized employee health insurance, including dental and vision coverage., • Employer-contributed 403(b) retirement plan., • Fifteen days paid vacation annually (full time only), increasing with tenure., • Additional 10 days observed paid holidays per annum., • Paid sick leave., • Museum store discount and other discount programs., • Counseling and advice benefits.
