Job Description Independent Contractor/Student Intern/Virtual Behavioral Health Assistant (Domestic or Oversees) Position Type: Part-Time | Remote | Flexible Schedule Reports To: Clinical Director / Practice Manager Overview Pathways to Healing & Social Justice, LLC is seeking a Virtual Behavioral Health Assistant to serve as the first point of contact for prospective and existing clients. The ideal candidate will demonstrate compassion, professionalism, and strong organizational skills in supporting a trauma-informed, culturally responsive mental health practice. This role involves managing intake calls, conducting initial screenings, triaging client needs, and coordinating appointments across multiple clinicians and programs. The position also includes ad hoc administrative tasks that ensure smooth daily operations and client satisfaction. Key Responsibilities Client Intake & Coordination * Serve as the primary point of contact for new client inquiries by phone, email, and online platforms (e.g., Headway, SimplePractice, Psychology Today). * Conduct brief intake screenings to assess client needs, presenting issues, and clinical fit. * Schedule consultations and match clients with appropriate therapists or services. * Verify insurance coverage, copays, and benefits (as applicable). * Maintain accurate and confidential client records in the electronic health record (EHR) system. Triage & Communication * Respond promptly and empathetically to client calls, messages, and referrals. * Identify and triage urgent or high-risk situations according to practice protocols. * Coordinate communication between clients, clinicians, and referral sources. * Provide resources or referrals for clients not appropriate for the practice’s scope of care. Administrative & Ad Hoc Tasks * Support the Clinical Director with ad hoc administrative tasks as assigned (e.g., data entry, outreach tracking, follow-up calls). * Assist in maintaining up-to-date clinician schedules, service availability, and onboarding materials. * Prepare and send intake forms, consents, and follow-up correspondence. * Support marketing and outreach efforts through client engagement and professional communication. Qualifications * Bachelor’s degree in Psychology, Social Work, or related field preferred; relevant experience considered. * Minimum of 1–2 years in a behavioral health, intake, or administrative coordination role. * Strong communication, organization, and time management skills. * Compassionate, professional, and trauma-informed phone presence. * Experience with EHR systems (e.g., SimplePractice, TherapyNotes, Headway) and Google Workspace. * Ability to maintain confidentiality and adhere to HIPAA regulations. Preferred Skills * Bilingual (English/Spanish) highly preferred. * Knowledge of mental health terminology, insurance processes, and referral systems. * Experience working in diverse and multicultural settings. * Comfortable working independently in a remote environment.
