POSITION SUMMARY The Accounting & Payroll Administrator is responsible for ensuring all A&R Solar employees receive their earned wages and administer benefits appropriately and on time. This role is responsible for all facets of payroll related calculations/ reconciliations and assists the Accounting team administrative duties. The ideal candidate is a detail-oriented problem solver who can operate with a high level of autonomy, expertise, and role ownership. A&R Solar emphasizes quality, continuous improvement, and high performance. This position is Hybrid and requires 2-3 days / week to be worked at A&R Solar's Seattle, Washington location. RESPONSIBILITIES Payroll & Benefits • Process weekly and supplemental payroll for 110+ employees, multi-state roster with Paylocity, • Comply with WA/OR/ Federal prevailing wage requirements (Fringe benefit management, OT Calculations, etc.) and any contractually required Union Agreements, • Process weekly certified payroll reports and submit through WA L&I, LCP Tracker, or other contractually required systems, • Pay weekly tax liabilities and garnishments, • Post Payroll information into accounting system as a General Journal Entry, • Set up employee records and maintain updates as needed for benefits programs including: 401k, health insurance premiums, PTO, stipends, paid leave, workers compensation, • Assist Project Management with proper Timecard clocking procedures and job-costing and audit for state specific OT rules, • Calculate and process per diem, mileage, and other reimbursement payments, • Accurately calculate and pay commissions & commissions draws, • Bonus program calculations and payments, • Maintain payroll system in accordance with required accounting procedures and job-costing mechanisms, • Reconcile data between systems for accurate processing, • Management of A&R Solar’s apprenticeship program (wage tiers, compensation, and compliance), • Participate in the monthly close process, • Additional Projects as Needed, • Reconcile benefits invoices against employee deductions to ensure accuracy, • Complete Onboarding and Offboarding tasks as assigned, • Respond to employment verifications, unemployment claims, and similar requests, • Manage injury claim reporting/ management and research/ apply for state funded wage reimbursement programs (WA L&I, OSHA, Private Disability Insurance, WA Stay at Work, etc.), • Manage WA PMLA, OFLA, Work Share (OR) and Shared Work (WA) claims, as needed, • Complete Payroll & Worker Compensation Audits as required, • Bank/ Loan Reconciliations, • Balance Sheet Review, Report Generation, and Audit, • P&L allocations & reporting by business sector and by state, • Fixed Asset Management and Depreciation entries, • Prepare Utilization, Cost Allocation, Job Performance, KPIs, and Financial Ratio Reports for review & distribution, • Cross-Train in AR and AP; Provide support for the accounting team during scheduled vacations and assist Controller with best practices across the department, • Assist with Pricing Model analysis, updates, and adherence, • Familiarity with WA & OR Prevailing Wage Rules & Certified Payroll, • Strong proficiency in Microsoft Excel, experience creating nested formulas and pivot tables, • Strong analytical skills and critical thinking ability to evaluate information and troubleshoot issues, • 2+ years of payroll experience, Paylocity Experience is a plus, • Excellent interpersonal, verbal, and written skills, • Self-motivated and accountable, • Desire to provide a high level of service and support for employees, • Ability to multitask, prioritize, and problem solve in a deadline driven environment, • Enthusiastic attitude toward growth and learning to accommodate a growth mindset, • Exceptional organization and attention to detail, • Degree in related field or payroll certification, • Job-Costing or Construction Industry experience, • Experience with onboarding payroll/ HRIS solution software (Paylocity or comparable) BENEFITS • Health benefits, including medical, dental, vision, life, short-term and long-term disability insurance plans, and a health savings account (HSA) with employer contribution, • PTO Accrual, starting with 80 hours in year one and increasing as you grow with us, plus 8 company paid holidays, • 401(k) retirement plan with 4% employer matching, • Paid parental leave, • More than $3,000 annually in stipends for health and fitness, continued education, home office, tools, and more, • Phone plan reimbursement, • Annual profit sharing, • Discount to put solar on your home
