Job DescriptionDescription: Under the direction of the Property Manager, the Assistant Property Manager is responsible for all phases of operations and to act in that capacity in the absence of the Property Manager. Emphasis on administration of the property operations and rental office, supervision, where applicable of rental staff and marketing and operations, and assistance in monitoring the financial operations of the property to meet the goals of the property. This position also requires the Assistant Manager to play an active role in resident retention, providing a quality living experience for the residents, assisting in providing a second in command presence to interpret and consistently implement the policies and procedures of the company, to further augment the productive, positive environment for the property personnel. Responsibilities • Monitors and directs rental activity, all on site marketing activities, and functions, both in occupied and vacant apartments, and for compliance with scheduling and monitoring of preparation of market ready units., • Responsible for all administrative functions and the correct and timely preparation of all reporting documentation., • Maintains an ongoing, in-depth knowledge of the associated market., • Prepares rental agreements and renewal offers for residents and ensures the collection of specified rents., • Assists in timely collection of rents, banking activities, documentation of all transactions, preparation of collection documents, legal notices, and court appearances., • Assists with eviction of residents in compliance with court order and directions from attorney and owner., • Responsible for receivables and payables., • Responsible for timely completion of all resident final account statements., • Responsible with Property Manager for occupancy management, production and management of appropriate revenue growth, timely rent collection, policy and procedure compliance and the properties financial performance, as established in the annual operating budget., • Responsible for the monitoring and property compliance with all Fair Housing Regulations, and compliance with local ordinances and laws, as they relate to company or property specific guidelines in occupancy standards, always demonstrating firm, fair and consistent administration of all legal and company policies and practices., • Responsible for resident file documentation, application and rental documentation tracking, receipt, and timely processing of payables., • Maintain high occupancy level through effective motivation of the Leasing staff, keeping informed of market conditions, competitive pricing, and current pricing strategies for the property., • Monitor quality of on-site marketing program, including completeness of add review, comparison shopping and general awareness of the property in relation to the market., • High school diploma or general education degree (GED)., • A minimum of one year of related experience., • Basic bookkeeping skills, • Knowledge of office systems and equipment, • Sales and marketing experience preferred., • Working knowledge of eviction law, Fair Housing mandates and other legal issues affecting property management., • Ability to communicate effectively both verbally and in writing, interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence., • Effectively present information and respond to questions from groups of managers, clients, residents, and the public., • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals., • Ability to compute rate, ratio, percent, commissions, and work within budgeted guidelines., • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental guidelines., • Computer proficient in Windows, MS office, Word, Excel, and Outlook., • Directly supervises the Leasing staff and employees in the Maintenance Department when the Property Manager is not present., • Plan, prepare and conduct property functions designed to add value to property operations., • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws., • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
