Job DescriptionSalary: $25 - $31 per hour DOE Job Summary: The HR Coordinator plays a vital role in supporting the day-to-day operations of the Human Resources department by executing a wide range of administrative and transactional tasks with precision and professionalism.This is a full-time, in-office position based in Folsom, California.The role is responsible for ensuring the smooth delivery of core HR services including payroll processing, onboarding, benefits administration, employee records management, and compliance support. Reporting to the HR Manager, the HR Coordinator serves as a key point of contact for employees, providing timely and accurate assistance while maintaining strict confidentiality. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced, dynamic environment. Key Responsibilities: Recruiting Support • Coordinate the posting of job openings across internal platforms and external job boards, ensuring consistency and accuracy in job descriptions., • Monitor applicant flow and screen incoming resumes for basic qualifications, forwarding suitable candidates to hiring managers for further review., • Schedule interviews with candidates and internal stakeholders, managing calendars, confirmations, and logistics to ensure a smooth interview process., • Communicate with candidates throughout the hiring process, providing timely updates, answering general questions, and maintaining a positive candidate experience., • Assist in the administration of pre-employment processes, including background checks, reference checks, and employment verifications., • Prepare and send offer letters and new hire documentation under the direction of the HR Manager., • Maintain accurate and up-to-date records in the applicant tracking system (ATS), ensuring compliance with internal procedures and legal requirements., • Assemble and prepare comprehensive new hire packets, ensuring all required forms, policies, and documentation are included and up to date., • Coordinate and schedule new hire orientation sessions, including calendar invites, meeting logistics, and preparation of materials., • Ensure timely completion and collection of onboarding documents such as I-9s, W-4s, direct deposit forms, and policy acknowledgments., • Enter and maintain accurate employee data in the HRIS, including personal information, job details, and employment status updates., • Track onboarding progress through checklists and system workflows, following up with new hires and internal stakeholders to ensure timely completion of all tasks., • Maintain organized and compliant personnel files (digital and/or physical), ensuring confidentiality and readiness for audits., • Support the setting up of new hire system access, equipment requests, and workspace coordination in collaboration with the IT teams., • Collect, review, and verify employee timecards and attendance records for accuracy and compliance with company policies and applicable wage and hour laws., • Prepare and submit bi-monthly payroll data, ensuring timely and accurate processing of employee compensation., • Process payroll-related changes including new hire setup, terminations, wage adjustments, garnishments, bonuses, and retroactive pay., • Set up and maintain multi-state payroll tax accounts, ensuring accurate tax withholding, reporting, and compliance with varying state and local regulations., • Maintain and update payroll records in the HRIS and payroll systems, ensuring data integrity and confidentiality., • Respond to employee inquiries regarding pay, timekeeping, and payroll deductions, providing timely and professional support., • Collaborate with the HR Manager and Finance team to resolve payroll discrepancies and ensure compliance with federal, state, and local payroll regulations., • Process employee benefits enrollments, changes, and terminations in the HRIS and with third-party benefit providers, ensuring accuracy and timely updates., • Assist with the coordination of annual open enrollment, including preparation of materials, system updates, and employee communications., • Maintain benefits records and documentation in compliance with HIPAA, COBRA, and ACA regulations., • Track and document all employee leaves of absence (e.g., FMLA, CFRA, ADA, personal leave), ensuring proper documentation, timely notifications, and coordination with payroll and benefits., • Generate and distribute required leave-related notices and forms and follow up with employees and managers to ensure compliance with leave policies and timelines., • Process a variety of HR transactions including new hires, employee status changes, promotions, terminations, and compensation adjustments in the HRIS and personnel files., • Maintain accurate and organized employee records, ensuring compliance with federal, state, and company documentation requirements., • Assist with internal and external audits by preparing requested documentation and ensuring data integrity across HR systems., • Support the preparation and distribution of HR communications such as policy updates, employee announcements, and compliance reminders., • Respond to general employee inquiries regarding HR policies, procedures, and systems, escalating complex or sensitive issues to the HR Manager as appropriate., • Assist in compiling HR reports and metrics to support compliance tracking and internal reporting needs., • Provide administrative support for HR projects and initiatives as assigned., • Associate or bachelors degree in human resources, Business Administration, or a related field preferred; equivalent work experience will be considered., • 24 years of progressive experience in an HR administrative or support role, preferably in a fast-paced, multi-functional HR environment., • Solid understanding of HR operations, including onboarding, employee records management, benefits coordination, and payroll support., • Hands-on experience with HRIS and payroll systems; timekeeping platforms, and benefits portals is highly desirable. familiarity with BambooHR is a plus., • Strong organizational and time management skills with the ability to prioritize tasks, meet deadlines, and maintain accuracy under pressure., • Excellent written and verbal communication skills, with the ability to interact professionally and effectively with employees at all levels., • High level of discretion and integrity in handling sensitive and confidential information., • Proactive, resourceful, and adaptable with a strong customer service orientation and a collaborative mindset., • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with document management and digital filing systems is a plus., • Demonstrated ability to learn new systems and processes quickly and contribute to process improvements. Work Environment The employee will primarily work in a climate-controlled office with occasional fluctuations in temperature. The employee will work at an assigned desk under artificial lighting.
