Job Description JOB SUMMARY: Overall Summary of Function The Trade Show & AV Supervisor I is responsible for overseeing the daily warehouse operations related to the preparation, stocking, pulling, organization, staging, transportation readiness, and post-event processing of all department-related components required for events and productions in accordance with company standards and operational requirements. This includes, but is not limited to, V-Series frames and accessories, LED walls, displays, monitors, audiovisual systems, power and data distribution components, lighting components, tension frames, specialty substrates, structures, client storage inventory, and related operational assets. This role supervises department personnel and leads production, shipping, receiving, inventory control, quality assurance, and workflow coordination activities to ensure all department assets are prepared accurately, safely, and on schedule based on technical drawings, PW callouts, and event requirements. The position is responsible for reviewing technical drawings, coordinating with the Audio Visual Generalist and operational departments, preparing specialty structures and frames, organizing and breaking down structures and related components, and ensuring accurate fulfillment and inventory management throughout the department. The role works closely with Warehouse Operations, Field Operations, Inventory, Production, Shipping, Receiving, Fabrication, Print Shop, Program Coordinators (PCs), Program Managers (PMs), Sales, and AV teams to support operational readiness, workflow efficiency, quality standards, and successful project execution. ESSENTIAL JOB FUNCTIONS: At Minimum Duties and Responsibilities Leadership & Department Oversight Supervise and coordinate the daily activities of warehouse generalists, associates, leads, and temporary workers to ensure operational efficiency, productivity, and completion of departmental priorities. Support management with monitoring labor productivity, task completion, attendance, and operational efficiency throughout the department. Support department leadership with labor planning, staffing coordination, and daily operational execution based on production schedules and event requirements. Assist with employee training, onboarding, coaching, task delegation, and day-to-day performance accountability within the department. Help drive accountability, professionalism, teamwork, and operational discipline through consistent floor presence and leadership support. Monitor department workflow, productivity, and operational readiness to ensure deadlines and company standards are consistently achieved. Production, Shipping & Receiving Operations Review technical drawings, verify material requirements, and ensure all hardware, frames, accessories, and specialty substrates are properly prepared and accounted for prior to shipment. Oversee the preparation, assembly, testing, breakdown, and post-event processing of V-Series and AV structures in accordance with company quality standards and event requirements. Manage shipping and receiving activities related to the department, including staging, transfers, outbound verification, return processing, and transportation readiness. Ensure outgoing orders are properly manifested, labeled, palletized, secured, and prepared for transportation according to company procedures and event timelines. Work closely with warehouse staff to ensure the correct items are consolidated, staged, and safely loaded onto company trucks. Coordinate and communicate shortages, damages, operational concerns, and project updates to management and cross-functional departments in a timely manner. Operate forklifts, pallet jacks, company trucks, and warehouse equipment safely and in accordance with company policies and certifications. Ensure department assets are maintained in show-ready condition and escalated for repair, replacement, or maintenance when required. Inventory, Quality Control & Technical Coordination Monitor inventory accuracy, investigate discrepancies, and support inventory control procedures for all department assets. Ensure department inventory transactions, transfers, pull sheets, checkouts, and return processing are accurately updated in company systems. Coordinate with internal departments to ensure lighting components, specialty materials, and technical requirements are aligned with project specifications and PW callouts. Oversee quality control inspections and testing procedures for frames, substrates, accessories, lighting components, and related equipment while maintaining strong attention to detail by identifying and escalating visual issues, color or branding discrepancies, sizing concerns, material defects, and other operational concerns to the appropriate departments to ensure issues are resolved promptly prior to shipment and installation. Support troubleshooting, testing, operational verification, and functionality checks of AV systems, LED walls, displays, structural components, power/data distribution systems, and related equipment prior to shipment, deployment, and installation. Support department organization standards, storage layouts, asset tracking procedures, and operational readiness throughout warehouse and staging areas. Support equipment accountability, department tool organization, and operational asset management procedures. Cross Functional Collaboration & Operational Support Collaborate closely with Production, Shipping, Receiving, Inventory, Field Operations, Fabrication, Print Shop, Maintenance, PCs, PMs, Sales, and AV teams to improve communication, workflow alignment, and operational execution. Participate in production, operational, and event meetings to support planning, scheduling, execution, and departmental alignment. Support and lead on-site operational activities with the Field Operations team, including structure assembly, troubleshooting, technical coordination, and execution support when required. Support operational scheduling and workflow coordination to maintain productivity, organization, and event readiness across the department. Assist management with implementing operational improvements, workflow adjustments, and process standardization initiatives throughout the department. Safety, Compliance & Reporting Enforce company safety policies, warehouse procedures, and proper equipment handling while maintaining a clean, organized, and safe working environment. Support facility compliance requirements by assisting with inspection preparation, conducting routine safety checks, and maintaining documentation for equipment certifications and safety expirations, including ensuring daily operational standards such as proper door closures and general safety practices are followed. Ensure general operational and safety practices are consistently followed throughout the facility, including organization standards, safe equipment usage, and warehouse readiness expectations. Review, complete, and provide feedback on department-related reports, operational documentation, and workflow updates. Identify workflow inefficiencies, operational risks, and process improvement opportunities while supporting management with practical solutions and department development initiatives. Additional Responsibilities Maintain flexibility with work schedules, including overtime, evenings, weekends, and extended operational hours when required. Be available and willing to travel for business purposes as required for events, installations, or other operational needs. Perform any additional duties and responsibilities as required by the position or operational needs of the company. QUALIFICATIONS: At Minimum Training, Education and; Experience GED or high school diploma (B.S. or associates degree preferred) Minimum of 1 year of experience in warehouse operations, trade show production, AV systems, shipping, receiving, logistics, or related operational environments, including leadership or supervisory experience, preferred. Ability to train and coach staff on a regular basis Understands basic accounting and standard business operation practices Demonstrates the ability to be organized, detail-oriented and team-driven. Advanced computer skills including email, Microsoft office software Flexible and adaptable to constant change Currently in possession of a valid driver’s license with clear driving record Ability to interact with individuals at all levels of the organization, as well as potential and current clients Pays attention to detail when composing, typing and proofing materials Respects confidentiality in discussing clients’ proprietary information and staff This position does require overtime and some weekend hours Availability for overtime, nights, weekends, and emergency support when needed.
