Job Description Bill Pay Manager San Diego, CA (On-Site) | Full Time Plumb provides high-touch bill payment and family office accounting services for Ultra High Net Worth individuals and their advisors. As we continue to grow, we are hiring a Bill Pay Manager to lead the day-to-day execution of our Bill Pay department and ensure smooth, reliable, timely workflows. This is an on-site, hands-on operational leadership role, ideal for someone who excels in process management, people management, approvals, controls, and daily bill payment execution—not a controller or financial statement preparer. About the Role The Bill Pay Manager is the operational heartbeat of our Bill Pay team. You will: • Oversee daily bill pay workflows, • Manage a team of 4–8 specialists, • Ensure payments, approvals, and reconciliations are completed accurately and on time, • Resolve workflow issues quickly What You'll Do Lead day-to-day Bill Pay Operations • Oversee invoice entry, approvals, payment processing, vendor setup, and quality checks, • Provide coaching, structure, accountability, and performance feedback, • Maintain audit trails, documentation standards, and internal controls, • Troubleshoot workflow gaps before they become escalations, • Identify opportunities to streamline processes This position is ideal for someone who: • Enjoys managing workflows and people, not month-end closes or financial reporting, • Has strong experience in bill pay, accounts payable, or operational accounting, • Thrives in a high-volume, detail-heavy environment, • Values consistency, structure, and accountability Qualifications • 5–8 years of experience in bill pay, accounts payable management, or operational accounting (family office experience is a plus), • Experience managing a team in a service delivery or AP-focused environment, • Strong knowledge of QuickBooks Online and multi-client systems, • Familiarity with audit processes, reconciliations, and approval workflows, • Highly organized, detail-oriented, and excellent at follow-through, • Clear, professional communication skills To help filter the right applicants: • This is not a controller, financial reporting, or strategic accounting role., • It is not focused on producing financial statements, tax prep, budgeting, or CFO-level analysis.
