Responsibilities Elwyn seeks a Benefits Manager that is responsible for the day-to-day management and execution of the organization’s Benefits function, including health and welfare benefits, retirement programs (403(b) and pension), employee support, benefits systems oversight, and vendor coordination. Reporting to the Director of Benefits, this role ensures accurate administration, reliable systems and integrations, effective employee communications, and operational continuity across a multi-state, nonprofit workforce. Benefits Operations & Employee Support • Manage day-to-day benefits operations, including eligibility, enrollment, and life event processing, • Oversee Tier 1 and Tier 2 employee support model for benefits inquiries and enrollment assistance, • Provide trained Tier 1 and Tier 2 support for Leave-related intake, employee communication, and benefits eligibility changes associated with approved leaves, • Ensure timely resolution of employee issues, escalations, and enrollment corrections, • Provide operational leadership and prioritization across the Benefits team, • Ensure coverage during high-volume periods and staff absences, including coordinated support for Leave administration, • Coordinate Tier 1 and Tier 2 support for Leave administration during peak periods and absences, while preserving dedicated Leave Specialist ownership, • Support cross-training to ensure continuity, • Ensure clear, accurate, and timely benefits and retirement communications to employees, • Develop and execute benefits communication plans to support enrollment, plan changes, and ongoing employee education, • Oversee creation and delivery of benefits guides, enrollment materials, and employee messaging, • Oversee day-to-day administration and operational coordination for the organization’s 403(b) Plans and frozen pension plans, • Coordinate with retirement vendors, recordkeepers, and internal partners on eligibility, contributions, and data accuracy, • Support annual census preparation, contribution validation, and annual retirement audits, • Ensure retirement program communications and employee support are timely and accurate, • Serve as the operational owner of the UKG Pro Benefits (BenAdmin) module, • Configure and maintain benefit plans, eligibility rules, work status events and life event logic, • Oversee benefits-related integrations and carrier EDI files, • Troubleshoot enrollment, eligibility, and data issues, • Serve as the primary operational contact for benefits and retirement vendors, • Coordinate and support annual benefits renewals with Director of Benefits, • Escalate issues appropriately and ensure timely resolution Compliance, Controls & Risk Management • Ensure day-to-day benefits administration complies with applicable federal, state, and local regulations (e.g., ERISA, ACA, HIPAA, COBRA, Section 125, state-specific requirements), • Oversee operational execution of compliance-related activities, including eligibility tracking, notices, reporting inputs, and vendor deliverables, • Partner with internal stakeholders and external vendors to support audits, filings, and compliance reviews, • Identify potential compliance risks related to benefits administration, systems configuration, billing, or eligibility and escalate appropriately, • Maintain documentation, controls, and standard operating procedures to support audit readiness, • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and directly relevant experience, • 5+ years of progressive experience in benefits administration or benefits operations supporting a multi-state workforce, • Prior experience leading or supervising staff, or serving in a lead/managerial role within a benefits function, • Hands-on experience administering benefits through an HRIS or benefits administration system, • UKG Pro Benefits (BenAdmin) experience strongly preferred, • Experience managing or supporting carrier EDI files, integrations, and enrollment audits, • Experience working with carrier portals and third-party administrators, • Working knowledge of health and welfare benefits, including medical, dental, vision, life, disability, FSAs, and related programs, • Experience supporting retirement programs, including 403(b) and/or pension plans, with exposure to vendor coordination, census data, audits, or compliance testing, • Practical, working knowledge of benefits-related laws and regulations, including ERISA, ACA, COBRA, HIPAA, and Section 125, • Experience developing and executing employee-facing benefits communications, including enrollment materials, guides, and ongoing messaging, • Demonstrated ability to analyze benefits data, identify trends, and recommend operational improvements, • Strong organizational and time-management skills with the ability to manage competing priorities in a fast-paced environment, • Demonstrated attention to detail and commitment to data accuracy, • Proficiency with HRIS and benefits administration systems used to manage eligibility, enrollment, and employee data, • Advanced proficiency in Microsoft Excel, including formulas, lookups, data validation, and reconciliation, • Working knowledge of Microsoft Office applications (Word, Outlook, PowerPoint) for documentation and employee communications, • Experience using ticketing or case management systems to track and resolve employee inquiries, • Operational Excellence: Ensures accurate, timely, and compliant benefits administration; builds reliable processes and controls, • People Leadership & Development: Provides direction, coaching, and accountability; builds team capability and coverage, • Systems & Data Acumen: Understands benefits systems, integrations, and data flows; proactively identifies and resolves issues, •
