Job Description Assistant Manager JOB DESCRIPTION Related Titles: Dining and Beverage Service Assistant Manager; Floor Manager Reports to: Club House Manager Supervises: Food and Beverage Staff (Dining Room Captains, Servers, Head Bartender, Bartenders and Bussers) Position Summary: The Assistant Manager supports the Food and Beverage Manager in providing superior food and beverage service to the Club’s members and guests. Maintains inventory and cost controls for all beverage operations. He/she will be responsible for managing and directing staff in the dining room(s) and other outlets. He/she will participate in hiring, training and supervising Dining Room Captains and Food and Beverage staff. He/she oversees floor operations, dining, and events, and works directly with the service staff to ensure member satisfaction. Responsible for operations of the Club’s Food and Beverage department in the absence of the Food and Beverage Manager and performs specific tasks as requested by him/her. This is a fulltime, salaried exempt position. Position Characteristics: An effective Assistant Manager is a career professional who possesses a desire to contribute to the successful operation of a private club through exceptional and consistent service. It is essential that he/she be polished and articulate with a thorough understanding of food and beverage operations. Must be a team player committed to developing long lasting, professional relationships with management, staff, and Club members. The ideal person is an enthusiastic, energetic, detail oriented, and self-motivated individual with ample experience in food and beverage service, and specifically, the private club industry. Essential Job Functions: • Responsible for assigning sections in the dining rooms/grill as well as checking staff assignments for events. Maintains a continued presence in the work area during mealtimes and verifies daily with guests that their service and food satisfaction expectations are met., • Responsible for the preparation and implementation of all table reservations and seating assignments, event set up and resets for upcoming events; ensures resetting of tables occurs without delays., • Checks each staff members’ work area before service begins to monitor table setup, condition of china, glassware, and silverware, etc., • Ensures that set levels of section productivity are met with a high level of service. Communicates with dining and banquet staff frequently, and assists with expediting service and needs, when necessary, • Addresses all guest-related concerns immediately, with the aim of solving all problems to ensure guest satisfaction; provides support to the service staff in problem solving solutions as well as unsatisfied guest recovery., • Maintains wine, beer, cocktail, and weekly special menus ensuring that what is presented to members is accurate at all times; apprises wait staff of changes to the menus that need to be verbalized to guests while changes are being updated., • Supports the club to facilitate wine and beverage training for service staff by teaching proper bottle service and continued effort to educate staff on current wines offered at the club along with specialty cocktail and beer offerings., • Plans wine pairings for special events, such as Chef’s Table, wine dinners and tastings; helps plan and organize functions directed towards expanding wine and beverage programming., • Schedules wine and beer samplings with distributors to continuously improve variety and quality of beverages available to club members and guests., • Collaborates with the Food and Beverage Manager in hiring, directing, training, and supervising of all staff in the performance of their duties in accordance with Westwood Country Club standards., • Works with the Food and Beverage Manager in the preparation of performance objectives and evaluations for the service staff, • Answerable for all staff’s conduct, attitude, and performance. Reports on all issues, positive and negative, objectively and in a timely manner to the Food and Beverage Manager., • Collaborate in the preparation of payroll; editing of timecards based on staff work schedule; preserves a high level of confidentiality., • Assists in the preparation of reports as are required or requested by the Food and Beverage Manager., • Adapts and adjusts to projects and assignments as dictated by the Food and Beverage Manager or as business necessitates., • Assist in developing an operating budget for the Food and Beverage Department. After approval, monitor and take corrective action to assure the budget sales & cost goals are attained/maintained., • Implement effective orientation and training for new staff; ensure that professional development activities for staff are provided., • Inspect to ensure that all safety, sanitation, energy management, and other standards are consistently met., • Create new drinks, update drink lists, and educate staff on beverage trends., • Maintain relationships with local liquor suppliers to ensure an adequate supply of spirits for bar operations., • Manage purchasing and inventory of all alcoholic and non-alcoholic beverages., • Monitor and maintain set COGs for all alcoholic beverages. Additional Responsibilities and Job Requirements: • Sustain a high degree of decorum and confidentiality in all aspects of the job., • When necessary, participate in the determination of the staff involuntary terminations; facilitates information for voluntary resignations., • Be detail-oriented, able to prioritize and multitask; be organized and responsible., • Maintain a positive, professional manner always; be courteous with all patrons and staff., • Attend and contribute to staff meetings and BEO meetings (Banquet Event Order), • Assures that all laws applicable to Food and beverage service operations are consistently followed., • Keeps abreast of industry trends relative to the Food and Beverage operation., • Monitor the ordering and receiving for products and supplies for proper quantity/prices., • Maintains an adequate supply of liquors, wines, beers, etc., through effective inventory management; develops product and revenue control systems to help reduce theft and profit loss., • Completes and inputs monthly inventory, transfers, and all other needs in relation to the accounting office requirements for the beverage operations of the club. The ideal person is an energetic, detail-oriented, and self-motivated professional with a proven and stable record of food and beverage excellence. Well-developed verbal and written communication skills are critical. This position generally requires a two or four-year degree in Hotel and Restaurant Management, and/or equivalent experience in hospitality services and catering or banquet/event management. Previous knowledge, skills and abilities serving, supervising and/or training in a fine dining food service environment. Required certification: Austin Certified Food Manager Certification, TABC (Texas Alcoholic Beverage Commission) certification. Appearance and Grooming: All employees are required to follow the guidelines set forth by the associate handbook regarding proper workplace appearance. Employees must adhere to their department’s specific uniform requirements. Language Skills: Ability to speak clearly and concisely to maintain proper, effective communication between staff and Club members; excellent verbal skills are required to supervise and direct personnel effectively. Reasoning Abilities: Be able to problem-solve, be prepared and flexible on the job. Establish and uphold cooperative working relationships. Work quickly and accurately, both independently and as a part of a team; take initiative. Be organized, exercise sound judgment, perform detailed tasks; understand, follow, and give verbal and written instruction. Adept at preserving the confidentiality aspects this position requires. Physical Demands: This position routinely requires standing, walking, holding/carrying, reaching, twisting, bending/stooping, pushing/pulling, kneeling/squatting, sitting, climbing stairs. Employee will have the ability to lift and/or move at least 50 pounds on a consistent basis. Work Environment: The noise level in the workplace is usually moderate, characteristic of fine dining restaurants or country clubs. The work environment is comparable to other food service industries and restaurant environments but may include atypical or extraordinary conditions.
