Overview Here at FI Real Estate Management we are seeking a highly organised and proactive Personal Assistant to support our Asset Managers in our offices in Chorley. This role involves providing comprehensive administrative assistance to ensure smooth daily operations and effective management of assets. The ideal candidate will possess excellent organisational skills, proficiency in relevant software, and professional communication abilities. This position is to assist the Asset Managers in the day-to-day management of the property portfolio. Key Duties & Responsibilities • Proactively support the Asset Managers (AMs) to progress new leases and renewals to completion, • Draft documentation including Heads of Terms, New Leases and Lease Renewal Approvals, Rent Review Memorandums and Assignment approvals, • Liaising with tenants to secure signatures on agreements, • Carry out credit checks using Experian, • Draft CapEx and Purchase Order forms, • Record status updates on the CRM system (HubSpot) relating to new deals and renewals, • Ensure the timely completion of tasks on the property management system, Yardi, • Assist AMs with managing emails, chasing up replies to queries and requesting updates from solicitors, • Arrange business travel and accommodation, • Arrange external / internal meetings and book meeting rooms, • Assist with the preparation of presentations, board reports and management reports, extracting data from the Yardi system, as required, • Process incoming and outgoing telephone calls, • Assist with any other administrative tasks, as required Competencies • Team player who is also able to work on their own initiative, • Excellent communication skills, • Planning and organisation skills, • A demonstrable understanding of the importance of confidentiality, • A strong understanding of IT systems and Microsoft Office applications Desired but not essential, • Experience in using Yardi and / or HubSpot, • Experience of property transactions, particularly commercial Company Benefits • 25 days holidays, plus bank holidays, • Modern Offices, • Company Pension, • Company Sick pay, • EAP - Employee Assistance Programme, • Referral Scheme, • Discretionary Holiday Buying Scheme (after probation), • AXA Healthcare (after probation), • Free on site parking This position offers an excellent opportunity for individuals seeking to enhance their administrative skills while supporting senior management within a professional setting.
