VENUE MANAGER: OVERVIEW OF ROLE Clwb Y Bont wishes to appoint a Venue Manager to fulfil and develop our Front of House operations. The successful candidate will have the proven ability to ensure the effective and profitable delivery of an appropriate Bar & Venue service that supports and compliments the Clwbs objectives and in line with customer development objectives. Venue Manager: Contractual Details Salary: £26,936 £28,860 per annum depending on experience, effective from 1 Aril 2026 Term: 12 months fixed term Hours: 37 hours per week including evening and weekends. Holidays: 20 days per year, plus the 8 recognised bank/public holidays Probationary Period: 3 Months Period of Notice: 2 months (the notice period during the probationary period is 2 weeks). Pension: We do not currently operate a pension scheme but will facilitate access by you to a pension scheme to the extent to which we are required to do so by law. Main purpose of role To ensure the effective and profitable delivery of the bar & venue service that supports and compliments the Clwbs objectives in line with customer development objectives. To lead on safety, hygiene and beverage choice and quality. To build a highly motivated and skilled Bar team. To support the Clwbs Committee in the customer facing operations and day to day facilities management. As a personal licence holder, to undertake all associated duties ensuring that Clwb is fully compliant with all legal requirements. Reports to : the Chair, Treasurer and Committee of Clwb y Bont for all Day-to-Day responsibilities, ultimately responsible to the Committee. Responsible for: Bar staff and Volunteers who undertake occasional bar duties. Key relationships: Committee Members, regular volunteers and freelance members of staff LEAD RESPONSIBILITIES: Working with the Reporting Officers above to develop the Clwbs Bar & Venue offer, ensuring a high level of customer positive experience and the profitable and legally compliant operation of facilities, complying with environmental health and trading standards requirements across the venue at all times. Develop and maintain a level and style of Bar & Venue service that is integral to and supportive of the Clwbs bilingual core operations, values, programme and services. With a hands-on approach you will ensure the successful operation of the Bar & Venue and that the service meets the requirements of each of the different types of activities undertaken at Clwb. Working with the Reporting Officers above and freelance members of staff to drive income generation through increased use of our facilities for hires and events planning. To be fully accountable for all bar stock; ordering, receiving and reporting and venue equipment monitor onsite resources including all hire equipment and furniture and establish and maintain equipment listings and discuss any needs with the Treasurer. Recruit, manage, train and rota bar staff. Working closely with the Reporting Officers above on all licence, Health and Safety and fire evacuation procedures. With freelance members of staff, develop attractive and consistent communications to drive use of, and sales at Clwb. To embrace and promote the ethos of sustainable development and work closely with other key staff to identify and implement measures to lessen the environmental impact of our activities. Planning and Development Working to agreed targets to develop and deliver a plan for bar and other activities income generation, working with the Reporting Officers above to maximise opportunities for the generation of additional income through the management and delivery of hires and events. To contribute to the building and development of the brand of Clwb Y Bont and promote the venue within the town, county and beyond to make Clwb Y Bont a destination venue. Create and maintain useful partnerships for events and audience development. To be an ambassador with external parties and stakeholders and represent Clwb Y Bont at external meetings and events as required. Staffing Recruit, manage, train and rota casual bar staff so that they are a highly performing team who embody the values of Clwb. Ensure that all staff work within agreed procedures and to appropriate standards; including monitoring work performances, timekeeping and general discipline. Ensure that all staff receive regular briefings to include changes and updates to the offer of service and events. Customer Service Championing exceptional levels of customer service to deliver Customer Service Standards across all aspects of the Clwbs interaction with the public. To ensure that the building and all events run smoothly and efficiently in accordance with licensing authority regulations. To ensure the safety and welfare of the users of the building and to maintain the highest standards of customer care, appearance and working practices of bar staff and volunteers. To ensure the security of the building and act as key holder. To be a designated First Aider and Personal License Holder. Membership Maintain and look for opportunities to increase the membership database under the direction of the Committee Member responsible for Membership and with liaison with the Treasurer. Prepare periodic (frequency to be agreed with the Committee Member responsible for Membership) Membership Newsletters. The Clwb currently uses Mailchimp for these communications. Community activities and private hires Identify, organise and coordinate the occasional community events and activities at Clwb that are complimentary to the events organised by Clwb, freelancers and partners. Be the first point of contact for private hires and community events that may be organised by the Clwb by the twice- daily monitoring of the Clwbs general email, social media and other communication systems. The service level expected is that no email is unattended for more than half a day- holding responses meet this aim as long as they are within the half day time lapse. Manage all private hire bookings agree cost for the private hire with the Treasurer, ensure sufficient information is obtained and recorded to enable the accurate and timely issue of invoices and monitor receipt of payments. Communications Prepare periodic bi-lingual communications to subscribers of Clwb Y Bont, advertising forthcoming events and highlighting success stories of recent events etc. Content to be agreed prior to issue. Ensure that the Clwbs internal and website (Public version of the calendar) is kept up to date at all times recording sufficient detail of contact details of the hirer, timing of the hire, type of event, the number of guests expected, whether buffets, bands, DJs are involved etc. Assist in the development of the Clwbs website to improve attractiveness, functionality and promoting the Clwbs offering in terms of events and private hire options. Contribute to the design of event promotional material including leaflets, posters, tickets etc as required. Compliance Compile the periodic returns required by PPL/PRS accurately and by the timescales required. Manage confidential and/or sensitive information in accordance with the Data Protection Act and the GDPR ensuring that all data held and used meets GDPR requirements. Attend the monthly Pubwatch and any local partnership meetings to ensure that Clwb is fully informed of matters discussed. FACILITIES MANAGEMENT AND HEALTH & SAFETY In conjunction with Reporting Officers above, ensure the physical safety, maintenance and effective working of the public areas of the building. Ensure that safe working environments are maintained, thorough an effective programme of risk assessment and oversight. Compliance: To ensure that the Clwb complies fully with the terms of its Premises License, Health and Safety and Environmental Health policies and risk management processes in place for all aspects of our public facing operations and office areas of the building. Health & Safety: to ensure all Health and Safety regulations, policies and provisions are adhered to by all staff and volunteers. Ensuring comprehensive cleaning systems for the Bar servery and that areas are cleaned daily with appropriate materials and that waste disposal is carried out in line with Clwbs waste policy. Fire Safety: To be the Responsible Officer for the Clwb. To undertake regular testing of the Clwbs fire prevention equipment and recording of these tests. To undertake fire safety training and evacuation drills with staff, Volunteers and to maintain all necessary records. Major incidents: To take lead responsibility in the event of evacuation and / or major incident, acting as initial incident controller, liaising with and informing the (Responsible Officer above), DPS if a separate designation, and the Chair, Treasurer and Committee of Clwb y Bont Building Security & Management: Oversee the Clwbs CCTV and other Security systems; to act as key-holder. Maintenance: To assist the Responsible Officer above in overseeing maintenancecontracts and services for all public areas of the building. Cleaning: To oversee the work of the cleaning undertaken, including undertaking weekly and ad hoc inspections. Ensure arrangements are made for patterns of work based on event programmes and/or private hires, agreeing which areas are to be cleaned and services are provided within budget. Sustainability: Provide input into the development of the Clwbs approach to environmental sustainability such as the control and reduction of energy consumption, and participation in any appropriate sustainability projects. Note: You are employed as a Venue Manager. However you may be asked to perform other duties to the same total hours of work. This is a new job description and as such may be subject to changes made by your Reporting Officers above, or may be part of discussions with the Committee, or other appropriate meetings depending on the urgency of the discussion required. PERSON SPECIFICATION: VENUE MANAGER ESSENTIAL 2 or more years in a management / supervisory role within the hospitality industry. Demonstrable experience of working with cash handling, stock management and reconciliation systems and within agreed budgets for community events and private hires. Demonstrable evidence of the effective leadership, management and motivation of a small team. Experience of implementing effective health and safety procedures. Experience of managing community events and private hires. Knowledge and understanding of audience/customer needs and expectations. Excellent listening, influencing and verbal communication skills. Strong people skills: the ability to lead and motivate, to assume responsibility, to delegate appropriately and supervise effectively. Strong personal management skills: the ability to plan and prioritise work, deal effectively with pressure, manage competing demands and retain a positive and optimistic approach. Hard working, highly motivated and committed to best practice. A completer-finisher, who takes pride in a job well done and in getting the most out of the people for whom they are responsible. A flair for dealing with the public and delivering excellent customer care; a real enjoyment in working with people.
