Job Description Facilities Coordinator Roy Jorgensen Associates, Inc. (Facilities Management Division) is currently seeking a full-time Facilities Coordinator with 5-plus years of experience in a commercial office environment with a specific focus on supervision of contractors, communication with onsite clients, and resolving daily issues. This is a hands-on technical job responsible for maintaining DOT office structures. Consistently deliver activities associated with the Statement of Work (SOW) as it relates to assigned properties. Responsible for accurate and punctual completion of all service requests (client generated and self-generated) Preventative Maintenance (PM), and other duties as assigned. Reports to – Facilities Manager Essential Functions & Responsibilities • Foster and develop a strong customer service-oriented culture and relationship with client and specifically client site “key” contacts and/or liaisons to ensure successful delivery of services., • Ensure that delivery of service is addressed, dealing with contractors, client site staff and/or landlord/property management contacts at assigned sites., • Promote company philosophy through personal example., • Ensure consistency and continuity with the SOW document by becoming intimately familiar with daily, weekly, monthly, quarterly, and annual responsibilities. Perform the “First Watch” program of the property and proactively proceed with any needed repairs/maintenance in coordination with the Facilities Manager, • Responsible for all client submitted work orders including training and conference room set ups and office repairs., • Ensure that all PM activity that may affect the availability of the facility be scheduled and communicated to the client “key” contact. Additionally, communications with the Facilities Manager regarding these issues., • Become proactively involved in facility daily activities. Ensuring involvement with emergency response, ERT, facility related activities., • Seek and submit proposals and approval for any necessary maintenance work., • Complete all assigned inspections/PMs and issued service requests on time and properly recorded within the CMMS system., • Ensure compliance with all federal, state, and local laws, regulations and ordinances as related to the daily operations of assigned facility., • Ensure that all sub-contractors have approved and signed current sub-contract agreements on file prior to implementation of work., • Ability to lift 35Ib., • Maintain on-call status for immediate action pertaining to critical systems failure., • Additional tasks/responsibilities assigned by supervisor Key Competencies • Excellent written and oral communication skills, • Strong decision-making skills, • Strong analytical and problem-solving skills, • High School diploma or GED equivalent, • 5-7 years of related experience in a Class A building environment, • Basic computer skills including Outlook, Excel & Word, • Ability to read and understand building and tenant construction documents to include O&M manuals, test and balance reports, etc., • Must be team oriented and a problem solver, • Manage own time on a daily basis with little supervision, • Must be able to handle multiple projects, changing priorities, and continually heavy workloads, • May be required to work extended periods of time without relief, when responding to priority/emergency situations (including overtime-type assignments), • Must be able to stoop, stand, climb, frequently lift a minimum of 50 lbs. of equipment (pumps, tools, ladders, etc.) and safely install rigging/lifting devices, • Regularly required to crouch and reach to install/move equipment by bending forward at the waist or by bending legs and spine, • Regularly required to utilize vision abilities, allowing reading of printed materials, blueprints, other building drawings, and schematics Salary: Based on experience, plus benefits.
