Job DescriptionDescription: Overview of Role The Chief of Staff (CoS) serves as the direct professional extension and trusted right hand of the CEO, with a primary focus on advancing strategic priorities, strengthening organizational communication, and driving operational efficiency. Acting on behalf of the CEO as appropriate, the CoS helps translate vision into execution by coordinating across departments, preparing leadership for critical decisions, and ensuring follow-through on key initiatives. This role does not replace executive authority nor function as a gatekeeper. Instead, the CoS operates as an integrator and facilitator, enabling the CEO and senior leadership to work more effectively together. Key Responsibilities 1. Strategic Planning: • Assist the CEO in setting organizational goals, developing strategies, and ensuring that these plans are communicated and implemented effectively throughout the organization., • Oversee the implementation of key projects to ensure timely completion, • Orchestrate and integrate activities in support of achieving strategic objectives., • Partner with the CEO to define, refine, and operationalize organizational priorities, goals, and long-term strategies., • Conduct strategic analysis, research, and scenario planning to support executive decision-making., • Orchestrate and integrate cross-functional initiatives to advance strategic objectives., • Oversee execution of priority initiatives and key projects to ensure alignment with strategy, timelines, and outcomes., • Identify risks, opportunities, and emerging issues that may impact organizational performance or direction. 2. Performance Management and Organizational Alignment: • Assist the CEO in the timely implementation of WEA goals and ensure they are met in a timely manner., • Track and report to the CEO key organizational performance indicators, assessing progress toward goals and the organization's overall performance. This includes reviewing select dashboards of information from Athena, Epic, Ceridian, financials and other sources., • Support the CEO in tracking progress toward organizational goals and ensuring timely implementation.This includes reviewing select dashboards of information from Athena, Epic, Ceridian, financials and other sources., • Monitor and synthesize key organizational performance indicators, including clinical, operational, financial, and workforce metrics., • Ensure departmental activities remain aligned with organizational priorities and strategic goals., • Identify gaps, inefficiencies, or misalignments, develop recommendations to improve organizational effectiveness, and follow up to ensure progress., • Connect and coordinate workstreams that might otherwise remain siloed. 3. Organizational Alignment: • Ensure alignment of departmental activities with overall organizational objectives., • Identify areas for improvement and formulate, socialize, and then implement strategies to enhance organizational efficiency., • Connect workstreams that would otherwise remain siloed. 4. Executive Decision Support and Advisory Role : • Provide advice and recommendations to the CEO with a wide-ranging point of view, conducting research, gathering data, and analyzing information to aid in decision-making processes., • Keep the CEO informed regarding local and national health care news., • Work closely with the CEO’s Executive Assistant (EA) to manage the CEO’s schedule and coordinate executive-level activities., • Create presentations and other materials for meetings such as Board presentations and town halls., • Prepare the CEO for meetings to ensure efficiency., • Act as a key liaison between the CEO, senior leadership team, and various departments., • Manage the content of Board and Board committee meetings in collaboration with the CEO’s EA. Ensure that Board presentations are reviewed before Board meetings., • Assist in the development of an annual agenda for all Board and Board committee meetings., • Serve as a trusted advisor and strategic thought partner to the CEO, providing insight, analysis, and recommendations., • Manage the flow of information, issues, and decisions to and from the CEO to ensure focus on the highest-impact matters., • Prepare executive briefs, background materials, and decision memos to support informed and timely decision-making., • Keep the CEO informed of relevant local and national healthcare, policy, and industry developments., • Act as a confidential sounding board on sensitive organizational, operational, or personnel matters. 5. Communication, Meetings and Executive Preparation • Prepare the CEO for all intra-departmental, organizational, Board, and external meetings and presentations to ensure clarity, efficiency, and alignment., • Lead preparation of meeting agendas, briefing materials, presentations, and talking points., • Facilitate executive, senior leadership, and cross-functional meetings as appropriate, ensuring clear decisions, action items, and accountability., • Track follow-up items and ensure timely resolution of commitments., • Draft, review, and coordinate internal and external communications on behalf of the CEO in collaboration with senior leaders. 6. Board and Governance Support • Manage the preparation and coordination of Board and Board committee meetings in collaboration with the CEO’s EA., • Ensure Board materials are reviewed, finalized, and distributed in advance of meetings., • Assist in developing and maintaining the annual Board and Board committee agendas., • Coordinate follow-up on Board actions and ensure accountability for deliverables. 7. Cross-Functional Leadership and Stakeholder EngagementRelationship Building: • Represent the CEO in meetings or engagements when explicitly requested and with clear direction, ensuring executive authority remains appropriately situated., • Support preparation for external stakeholder engagements, including Board members, partners, funders, regulators, and community stakeholders., • Ensure follow-through on commitments arising from stakeholder interactions., • Build relationships and credibility with the CEO’s Senior Leadership Team and other key internal and external stakeholders, providing them with recommendations and consultation as needed. 8. Project Management and Special Initiatives: • Oversee the execution and implementation of the organization’s strategic goals and objectives on behalf of the CEO. This includes ensuring proper follow-up regular check-ins and progress reviews by team members., • Facilitate the objectives and goals Check in Meetings along with the CEO., • Lead or support special projects and initiatives as assigned, ensuring alignment with strategic priorities and deadlines., • Apply strong project management practices, including documentation, timeline management, and outcome tracking., • Employ established project management principles including excellent time management., • Provide attention to detail, meeting preparation and facilitation, and follow-up item tracking and resolution., • Gather quantitative and qualitative evidence of process and project success and recommend course corrections when necessary. 9. Communication: • Facilitate effective communication in collaboration between the Senior Leadership Team and different departments ensuring information from the CEO flows smoothly within the organization., • Draft and review internal and external communications on behalf of the CEO and the organization in collaboration with the other key leaders., • Act as the public voice of the CEO to external stakeholders whenever necessary. 8. Operational and Daily Executive Support: • Proactively anticipate and address the immediate needs of the CEO, including time management, logistical coordination, and priority setting., • Work closely with the CEO’s EA to support scheduling and executive-level coordination., • Provide support related to staffing, budgeting, or organizational planning efforts as requested. Education: Doctorate in the medical field, public health, behavioral health and/or MBA, MPP, MHA or similar preferred. Project Management Professional Certification strongly desired. Experience: 5+ years CoS or executive experience required. Frequent in-person meetings are required. California resident preferred. Spanish language skills are preferred. Essential Skills Required • Strong strategic, analytical, and problem-solving skills, with the ability to synthesize complex information and support executive-level decision-making., • Excellent written and verbal communication skills,, • High level of emotional intelligence, discretion, and sound judgment, • Ability to anticipate executive needs and provide proactive daily support, • Experience supporting senior executives or C-suite leaders in a Chief of Staff, executive operations, or similar role., • Experience in nonprofit, healthcare, public health, or social services organizations., • Familiarity with governance structures, Board relations, and executive-level stakeholder engagement., • Experience working in complex, mission-driven or multi-stakeholder environments.
