About the Role We are seeking a motivated, hands-on AI Operations Specialist to help Harbinger build, adopt, implement, and scale the use of artificial intelligence across the business. This person will work closely with the Operations Manager, Operations Coordinators, and cross-departmental leaders to analyze workflows, identify automation opportunities, and build practical AI-driven systems that improve efficiency and support company goals. This is not a leadership role and does not operate independently from the broader operational roadmap. The AI Operations Specialist will receive clear direction on where to investigate, what problems to prioritize, and which initiatives matter most. The ideal candidate is resourceful, adaptable, hands-on with AI and automation tools, and comfortable building and executing AI and automation projects with ownership, clarity, and speed. This role blends building with strategic thinking. Day to day, you'll be constructing real automations and AI-powered workflows that deliver operational value. You'll also be expected to think critically about where AI fits, what's worth automating, and how solutions connect to broader business goals. We want someone who can both build and explain why it matters and how it supports our larger business goals. Note: This role is focused on AI automation and workflow building, not traditional IT support, networking, or systems administration. We are looking for someone whose experience is rooted in building AI-powered tools and automations rather than managing hardware, help desks, or IT infrastructure. Experience Level: 1–3 years of hands-on experience building AI automations or workflow solutions in a professional or freelance setting. Key Responsibilities AI Strategy & Direction (Support Role) • Investigate AI opportunities as directed by the Operations Manager and COO., • Provide recommendations based on real-world practicality, feasibility, and business impact., • Identify blockers, present solutions, and keep initiatives moving with urgency. AI Implementation & Automation • Build, test, and deploy automations that improve speed, accuracy, and scalability., • Map and document operational workflows before automation to ensure solutions address the root process rather than symptoms., • Analyze workflows to identify inefficiencies and automation opportunities., • Monitor, debug, and improve existing automations to ensure reliability as workflows evolve., • Work with tools such as Make.com, n8n, Zapier, Airtable, OpenAI tools, and custom GPTs., • Research new tools and evaluate which are viable for adoption short-term. Team Enablement & Support • Assist Operations in training team members on AI tools and workflows., • Help create SOPs, documentation, and internal support material., • Build systems that empower team adoption without requiring constant hand-holding. System Building & Process Development • Help build workflow solutions that connect tools, data, and automations., • Balance innovation with practicality—scalable, documentable, supportable systems., • Contribute to long-term infrastructure that makes AI a natural part of daily work. Independent Project Execution • Own assigned projects start-to-finish while operating within defined priorities., • Research, test, refine, and deploy automation solutions., • Work resourcefully and creatively as we scale our internal AI capabilities. Qualifications Required • 1–3 years of experience building AI workflows or automations in a business, agency, or freelance environment., • Working knowledge of AI platforms, tools, and emerging capabilities., • Hands-on experience with at least one or two automation tools (Make.com, n8n, Zapier, Airtable, OpenAI, etc.)., • Comfort working with structured data (tables, spreadsheets, APIs, or databases) and designing workflows around data flows., • Systems-thinking mindset with the ability to translate problems into solutions., • Ability to execute projects with guidance and move work forward without friction., • Clear communication, documentation, and collaboration skills., • Awareness of data privacy, AI limitations, and responsible automation practices. Preferred • Experience training others on new tools or processes., • Familiarity with BI, analytics, or dashboarding tools., • Exposure to agent frameworks such as AgentKit, LangChain, CrewAI, etc., • Background supporting operations or process-oriented functions.
