Job Description ABOUT CITY HARVEST: City Harvest is New York’s first and largest food rescue organization, helping to feed millions of New Yorkers who struggle to put meals on their tables. During our 40 years serving New Yorkers in need, we have rescued more than one billion pounds of fresh, nutritious food and delivered it free of charge to hundreds of food pantries, soup kitchens, community partners, and our own Mobile Markets across the five boroughs. Position Summary The Director of Facilities & Office Services provides strategic leadership and operational oversight for all City Harvest facilities, office services, event spaces, building systems, and safety programs. This role ensures the Food Rescue Center (FRC) is a safe, compliant, sustainable, functional, aligned with City Harvest’s mission and operational standards of sustainability. The Director oversees building operations, LEED certification standards, warehouse cleanliness and compliance, vendor/contractor management, capital projects, building risk management, and space utilization across all sites. Partnering closely with Operations, Risk Management and Special Events teams they support the mission of City Harvest. Duties and Responsibilities Facilities Operations & Building Management • Lead daily operations of the Facilities Department to ensure high quality maintenance, safety, functionality, and appearance of all City Harvest facilities., • Oversee interior systems (electrical, HVAC/R, refrigeration, plumbing, elevators, generator, fire/sprinkler systems, pest control, carpentry) and exterior systems (roof, solar, snow removal, sidewalks, parking lot/yard, landscaping)., • Ensure safe, continuous, and economical operation of all building systems, equipment, and machinery., • Develop and implement preventive maintenance programs including logs for all critical systems, refrigeration, and kitchen equipment., • Maintain ongoing compliance with LEED certification criteria, ensuring sustainable building operations, energy usage tracking, recycling/waste protocols, and documentation requirements are consistently met., • Support warehouse compliance, safety, and cleanliness standards, including AIB, USDA, food safety regulations, DOH standards, OSHA requirements, and industry best practices. Event Space Management • Oversee event spaces, ensuring they are properly maintained, configured, and operated to support meetings, partner events, community programs, and external functions., • Manage event space scheduling, room setups/breakdowns, A/V needs, security coordination, and vendor support., • Develop policies, procedures, and efficient operational standards for event space use to ensure seamless execution and a high quality guest experience. Capital Projects, Construction & Renovation • Serve as the organization’s primary representative for future construction, renovation, capital improvement, and facility expansion projects., • Lead project planning, vendor/contractor selection, permitting, timeline management, quality control, and on site oversight., • Review and negotiate proposals, scopes of work, and pricing for services, equipment, and project execution., • Develop and manage a long term capital plan for City Harvest facilities. Compliance, Risk Management & Safety • Direct City Harvest’s facility related safety, emergency preparedness, and risk management programs., • Ensure compliance with all NYC/NYS/Federal codes and regulations (FDNY, DOB, DOH, DEP, OSHA, EPA, etc)., • Oversee fire and security systems, drills, safety inspections, life safety equipment, emergency response protocols, and regulatory audits., • Maintain all building permits, licenses, COs, and regulatory documentation. Office Services & Space Planning • Manage office services functions including mailroom operations, supply management, office moves, furniture logistics, and space optimization., • Oversee physical access control, badge systems, key management, and visitor protocols., • Lead property development and space planning initiatives to support organizational growth. Vendor, Contractor & Budget Management • Direct all vendor and contractor relationships related to facilities, building systems, warehouse cleaning, event space operations, utilities, and security services., • Monitor contracts, service levels, and performance to ensure cost effective, high quality outcomes., • Develop and manage departmental budgets, capital budgets, and procurement processes. Warehouse Compliance & Cleanliness Oversight • Support warehouse team by ensuring physical location aligns with operational excellence, product integrity, and audit readiness. Team Leadership • Supervise and develop facilities, maintenance, office services, and event support teams., • Foster a culture of safety, accountability, proactivity, and service excellence., • Provide 24/7 leadership coverage for facility and safety related emergencies., • Build strong, collaborative relationships with internal teams, government agencies, partners, and community stakeholders. Additional Duties • Meet with inspectors and regulatory agencies as needed., • Perform additional related duties as assigned., • Availability for evening and weekend work required. Skills, Knowledge, and Abilities • Strong technical knowledge of building systems including HVAC, refrigeration, boilers, compressors, fire/life safety, sprinklers, and standpipes., • Familiarity with warehouse operations, food safety, and industrial facilities best practices., • Understanding of LEED certification practices, sustainability standards, and green building maintenance., • Demonstrated expertise in facilities operations, capital projects, vendor management, event space management, and warehouse oversight., • Proficiency with Microsoft Office and ability to learn facilities management software., • Comprehensive knowledge of NYC/NYS regulatory compliance (DOH, DOB, FDNY, OSHA, EPA)., • Excellent communication skills and ability to collaborate across all organizational levels., • Strong leadership, integrity, problem solving ability, and sound judgment., • Detail oriented with excellent organizational and time management capabilities. Education and Experience • Bachelor’s degree in engineering, architecture, facilities management, building science, or related field preferred; equivalent experience considered., • Minimum 10 years of progressive experience in facilities management or capital project oversight, including 5+ years in a managerial role., • Experience with warehouse environments and refrigeration/ freezer systems strongly preferred., • Knowledge of LEED certification principles preferred., • Required: Certificate of Fitness for Standpipe/Sprinkler (within 6 months)., • Required: Fire and Life Safety Director Certificate (within 6 months)., • OSHA 10 or OSHA 30 preferred.
