Lumos & Associates is seeking a dynamic individual to join our team as an Administrative Assistant II. As part of the Corporate Team, this position will play a vital role in providing exceptional service to employees, clients, visitors, and the public by providing company information and answering questions. This is a full-time, entry-level position based out of our Reno, NV office. Ideal candidates will possess the following qualities and skills: • Self-motivated, proactive, excellent communicator, quick-thinking, flexible, and able to manage multiple and diverse responsibilities., • Demonstrates a strong commitment to providing exceptional service to internal and external customers and responds promptly and professionally to inquiries, resolves issues with empathy and efficiency., • Strong emphasis on organization and attention to detail, as well as an interest in planning team activities and events., • Coordinate special events throughout the year – company picnic, ice cream socials, monthly giveaways, holiday events, volunteer events., • Answers telephone, screens, or forward calls, provides information, takes messages, and schedules appointments. Responds to routine questions and provides information in a timely manner., • Provides exceptional customer service to greet persons entering the establishment, determines nature and purpose of visit, and directs or escorts them to specific destinations., • Performs administrative support tasks, such as proofreading, data entry, or operating calculators or computers. Opens, sorts, and routes incoming mail. Prepares outgoing shipments for pick-up and delivery and receives incoming shipments., • Travels to other offices including but not limited to; Lumos offices, clients, and agencies, for notary appointments, project submittals, deliveries, and general errands., • Coordinates food orders for meetings. Verifies quantities needed, contacts restaurant, places order, coordinates food delivery, and delivers food to designated meeting room or area., • Prints and distributes reports weekly, monthly, and as needed to ensure efficiency., • Organizes and stocks employee break area and supply area daily. Ensures that supplies are stocked and replenished as needed and common areas are clean and organized., • Orders and picks up various supplies for offices., • Operates and maintains postage meters, copy machines, and printers., • Maintains cleanliness of company-owned runner vehicles and other company vehicles. As assigned, performs inspection, fills up gas tanks, and schedules vehicle services., • Creates and posts internal announcements to include signs/flyers and postings., • Performs work in a safe manner. Reports repairs or safety concerns to management., • High school diploma or equivalent. A minimum of one-year related experience and/or training., • Ability to obtain Notary Public Commission within six months of employment., • Computer proficiency with knowledge of Microsoft Office Products (MS Word, Excel, Outlook & PowerPoint). Capable of operating all office equipment such as scanners, printers, and copiers., • Strong customer service aptitude, organizational skills, attention to detail, and the ability to work independently., • Effective oral and written communication skills with the ability to provide information across multiple groups in the Company., • Strong organizational skills, aptitude for detail, and the ability to work independently., • Strong grammar, proofreading, and composition skills., • Demonstrated ability to learn new tasks and develop personally and professionally., • Ability to travel regularly between offices with the use of a company vehicle., • Collaborative and supportive team environment., • Ability to make impactful contributions by improving office processes and systems. The compensation range reflects the Company's reasonable expectation at the time of posting.
