Job Description Reporting Relationships: Program Director reports to the Program Coordinator. What you will do: Under the general supervision of the Chief Operating Officer, Program Directors are expected to perform the following principal duties and responsibilities. · Exercise overall responsibility for the safe operation and effective results of all program operations at the facility · Provides continuance oversight of all facility sand program activities · Ensure shelter maintains its contractual compliance regarding program goals and objectives. · Meet all performance expectations established for the shelter by AAPCI and Department of Homeless Services and other governing entities · Maintain a healthy and safe environment for residents and staff while ensuring that residents move towards attainment of independent living, or an appropriate living status beyond AAPCI shelter · Operate the facility and programs within the approved limits established by the annual budget · Serve as the primary program liaison to DHS. Collaboratively work with the Director of Operations, Senior Program Leaders and Executive Management to deliver program outcomes · Work collaboratively with building management to maintain facility conditions, including ongoing monitoring of unit repairs and other requirements issued by DOHMH, DOB, FDNY, HPD, DHS, etc. · Work alongside the Human Resources Department in 1) Adhering to the HR Policies and Procedures established in the Employee Handbook 2) The selection process in filling vacant positions and 3) Receive guidance in handling employee’s performance problems. · Work alongside the Quality Assurance and Compliance Department in 1) Assuring the shelter remains in compliance with City and State regulations 2) The maintenance of the facility is at a level of excellence that will surpass the requirements of all inspections and 3) Internal trainings/workshops to support professional development · Maintain the critical binder and ensure all the necessary documents (inspections, fire drills, site schedule, security licenses) are up to date and audit-ready at all times · Work collaboratively with food vendors to ensure retrieval of menus and timely deliveries. · Be responsible for maintaining effective communication and interaction with staff in all areas of the shelter while ensuring the staff receives the necessary training and professional development that will equip them to be successful in their job descriptions · Foster a positive teamwork environment through mentoring, coaching, and providing feedback to staff based on performance · Assess program needs and identify potential funding streams to enhance services · Serve as liaison to local service providers and community leaders to ensure a good relationship with the community · Ensure shelter maintains its contractual compliance regarding program goals and objectives · Ensure prompt responsiveness to incidents, especially Priority 1 incidents. · Required to follow-up and submit reasonable accommodations and grievances received by shelter residents · Work collaboratively with food vendors to ensure menus and timely deliveries occur · Oversees administrative assistant who may be involved in daily department activities that implement the organization’s policies · Oversees the Administrative Assistant handle of the petty cash funds, required to provide approval for purchases · Review the petty cash reconciliation spreadsheet for accuracy and approved purchases for submission to Finance Team · Conduct operation and social service department meetings need to discuss program. improvements and achieve program goals issued by the funder, governing agencies, and AAPCI · Track, review, and complete payroll for employees assigned at the program location. · Reviews and submit weekly, biweekly, and monthly internal and external reports required to track facility activity, staffing needs, housing placements, veterans, etc. · Utilize demographic reports and other existing program data to evaluate shelter performance and implement short- and long-term plans to achieve goals · On-call 24/7 · While the Program Director may make suggestions/recommendations, at the discretion of the Executive Team, applicants are interviewed/selected for staff positions and/or transfers. · Tasks may be modified, expanded and assigned over time · Other duties as assigned by supervisor About you: Master’s Degree in relevant field with a minimum of at least 3-4 years successful experience in servicing to homeless individuals/families, mental health, substance abuse, or senior-level shelter administration or; o Bachelor Degree with at least 5-7+ years’ experience in servicing homeless individuals/families, mental health, substance abuse, or senior level shelter administration. Homeless (often mentally-ill and substance-abusing) men and women are provided with comprehensive services to stabilize their condition in order to successfully transition into to permanent and/or supported housing. CAMBA’s Atlantic House Men’s Shelter located in the Brownsville section of Brooklyn serves 200 single men at any given time. The majority of these clients are dually diagnosed with mental illness and substance abuse. Position: Engagement Coordinator Reports To: Assistant Program Director Location: 2402 Atlantic Avenue, Brooklyn, NY 11233 What The Engagement Coordinator Does: The person filling this position is expected, under general direction, to ensure smooth day-to-day running and supervision of social services staff and services in accordance with program goals, targets, and performance outcomes and all CAMBA and program policies, procedures, and protocols, including the following: • Maintain professional relationships with clients and client confidentiality, • Practice Universal Precautions/Standard Protocol & Procedures, • Comply with any and all Federal, State, City and CAMBA security and privacy polices intended to protect the security and privacy of individual identifiable health information., • Communicate effectively with clients, direct reporting staff, peers, supervisors, and funders, • Provide direct interventions with the clients that are culturally appropriate and take into account the client's communication styles, values and life experiences, • Provide non-direct interventions that support the shelter team and increase communication between functions, • Conduct and document one-on-one supervision with one or more of the following staff; providing crisis management assistance, interventions, and follow up with clients who have patterns of maladaptive behaviors, and education for staff on how to manage incidents from a trauma informed perspective, • Develop workshop curriculum for one or more of the following; Recreation Coordinator, Adult Literacy Specialist, Peer Counselors and Employment Specialist programming components., • Develop community-based resources and supports towards agency housing and engagement efforts, • Conduct Crisis Prevention (CPI) trainings for staff members to better inform them of tactics to use to deescalate and appropriately handle incidents within the shelter., • Ensure attainment of funding objectives and performance measures, • Conduct field visits to increase community and citywide resources, • Create and implement incentive system to increase client participation in on-site and community activities, • Plan and organize program activities to maximize program contract's goals and performance targets as outlined in OHS' Performance Incentive Plan and grant contracts., • Motivate, coach and counsel direct reporting staff to excel., • Ensure that all direct reporting staff completes all necessary case management documentations in eluding individual and group case management notes, housing applications, individual living plans (ILP), and referrals to providers including psychiatric referrals are completed as required and up to date., • Encourage teamwork among direct reporting staff as well as among peers, • Troubleshoot client and direct reporting staff program problems and make decisions in accordance with program policies, procedures, and protocols, • Administer constructive discipline to direct reporting staff, as needed, • Input client data using DHS's CARES database, as needed, • Monitor clients' progress toward their goals (dates achieved) and document via progress notes, • Review all documentation related to clients' progress for accuracy, completeness, and clarity, • Review and sign time sheets, • Prepare performance appraisals for directed reporting staff, • Conduct chart auditing of client files (i.e., paper and electronically)., • Ensure staff utilization of electronic database and conduct oversight to ensure data integrity, • Manage own time effectively and coordinate program activities to maximize time of direct reporting staff, • Lead and participate in administrative and staff meetings as requested, • Provide all required information for weekly/monthly/quarterly/semester/annual reports to CAMBA management and/or to funders, • May conduct orientation sessions for new clients arriving in shelter to orient the client to the rules and regulations of the shelter., • May ensure the monthly event calendar is inclusive and includes both on-site and external activities, • May prepare marketing materials for the program, • May conduct initial intake or assessment of clients and/or clients' families and periodic reassessments, • May have direct client service/program responsibilities in addition to the above, • May plan, coordinate and facilitate social/peer support events, including group facilitation for clients, • Tasks may be modified, expanded and/or assigned over a period of time Minimum Education/Experience Required: • Bachelor's degree (e.g. , B.A., B.S.W.) and two years of applicable experience;, • Master's degree preferred.
