POSITION OVERVIEW The Project Coordinator (PC) for the Development Office supports the operational, research, and strategic activities of the team. Under the direction of the Vice President, Strategic Partnerships, the PC focuses on prospect research, managing and maintaining the office's grant prospecting tools, coordinating meetings, data management in Salesforce, and other special projects as assigned. This position requires strong organizational skills, an ability to work proactively and independently, and excellent communication skills. The PC plays a vital role in ensuring the smooth execution of activities that advance the Development Office's fundraising and partnership objectives. SUPERVISORY RESPONSIBILITIES none CORE DUTIES/RESPONSIBILITIES • Support Grant and Donor Research, Preparation, Submission and Tracking, • Conduct research to identify new donor and/or funding opportunities aligned with C-Path's mission and strategic priorities., • Maintain and update the grant tracking tools, ensuring timely and accurate information on deadlines, application statuses, deliverables, and reporting requirements., • Support the preparation and submission of grant proposals, including gathering required materials and coordinating with internal subject matter experts., • Assist in tracking outcomes and preparing periodic reports for internal and external stakeholders., • Support stewardship activities, including organizing and tracking thank-you communications and impact reports., • Meeting Coordination and Event Support, • Support event management materials such as donor profiles, partner engagement plans, briefing packets, agendas, presentations, and post-event follow-up reports, • Maintain appointment calendars and schedule all virtual and in-person recurring and ad-hoc meetings as requested., • Set up Zoom or Teams meetings for all recurring and ad-hoc meetings as requested., • Coordinate all aspects of offsite meetings including working with the venue and C-Path team on room, food, and audio/visual needs are met to support the goals of the event., • Operational and Administrative Support, • Manage Development Office interactions and support cross-team contact tracking in CRM, ensuring data accuracy and regular review., • Plan, coordinate, and track work on various action items as requested., • Ensure project documents (e.g., agendas, minutes) are complete, current, and stored appropriately., • When applicable, assist with the preparation, maintenance, and sharing of internal and external communications., • Assist with financial tracking for all projects, including tracking expenses and submitting expense reports., • Arrange for any necessary travel for the internal team and select stakeholders, when required., • Communication and Stakeholder Engagement, • When applicable, assist with the preparation, maintenance, and sharing of internal and external communications., • Identify opportunities for improvement and make constructive suggestions for change., • Work together with other members of the team in an efficient manner while following consortium, program, and organization best practices, policies, and procedures to achieve consortium, program, and organization goals., • Track and document best practices and lessons learned and share those with the team., • As requested, assist with company-wide administrative needs in the office and remotely such as event prep and clean up, front desk support, vacation coverage, etc., • Works well independently and in a team-oriented, collaborative environment., • Good oral and written communication skills, including professional business writing and editing., • Ability to interact professionally and courteously with multiple stakeholders including clients, vendors, subcontractors, and superintendents., • Ability to effectively present information to management and general staff., • Good problem-solving and organizational skills., • Self-motivated with the ability to work in a fast-paced environment; anticipate issues or challenges without being specifically directed., • Detail-oriented and keen editorial eye., • Intermediate use of Windows software including Microsoft Office 365 Suite (i.e., Word, Excel, PowerPoint, Outlook), and familiarity with business/productivity tools (e.g., Adobe Acrobat Pro, ChatGPT/AI productivity tools., • Comfortable with CRM or donor management systems; experience with Salesforce a plus., • Exercises good judgment in selecting methods and techniques for obtaining solutions., • Collaborative and active listener, respects other's ideas, and responds thoughtfully to questions., • Ability to interact respectfully and mindfully with stakeholders from different backgrounds and perspectives. REQUIRED EDUCATION AND EXPERIENCE • High School Diploma or Equivalent, Bachelor's degree preferred., • Minimum 3-5 years of experience in administrative, development, fundraising, or project coordination roles, preferably in a nonprofit or health-related setting.
