Job DescriptionDescription: The Evergreen School, an independent school serving highly capable students in preschool through 8th grade, is currently accepting applications for an Athletic Director. POSITION OVERVIEW The Athletic Director (AD) provides strategic leadership, operational management, and day-to-day oversight of the school’s comprehensive Preschool–8 athletics and support the physical education program. This role reports to the Associate Head of School, and is primarily administrative and leadership-focused, not a regular coaching or teaching position. While the Physical Education (PE) program sits within Academics, the Athletic Director partners closely with academic leadership to ensure alignment, consistency, and high-quality instruction across PE and athletics. The Athletic Director may occasionally step in to support PE coverage when necessary; however, routine teaching or coaching responsibilities are not core expectations of this role. This is designed as a 10 Month Extended position. The position follows the traditional 10-month academic calendar with an additional 4 weeks of work (to be scheduled collaboratively by the AD and their supervisor) in order to reflect the program’s year-round planning and operational responsibilities. Duties and Responsibilities: • Program Leadership and Vision, • Provide leadership and long-range planning for a Preschool–8 athletics and physical education program serving approximately 540 students., • Ensure athletic offerings are developmentally appropriate, inclusive, and aligned with best practices in independent school athletics., • Promote sportsmanship, equity, student safety, and positive school culture across all programs., • Complete the Athletics Handbook and develop/create policies pertaining to athletics as they arise., • Coaching and Personnel Management, • Recruit, hire, onboard, train, and evaluate approximately 40 seasonal coaches annually., • Manage coach contracts, expectations, and compliance (including required trainings such as background checks and safety certifications)., • Provide ongoing support, communication guidance, and professional development for coaches., • Coordinate with HR on contracts, volunteer clearance, and required documentation., • Scheduling, Logistics, and Operations, • Create and manage annual athletics calendars across all seasons, ensuring alignment with academic schedules, holidays, religious observances, school events, and facility availability., • Schedule practices, games, meets, and tournaments for K–8 teams., • Serve as site manager for home games, meets, and tournaments, including frequent after-school and weekend commitments., • Coordinate transportation, including buses and approved drivers, in partnership with Facilities and Operations; may occasionally be required to drive students for away games when necessary, • Secure and manage use permits for external facilities and fields through municipal and league partners., • League and External Partnerships, • Serve as the school’s primary representative to athletic leagues and associations (e.g., CMSL, CYO, DiscNW, Washington State Officials Association)., • Attend required league meetings and coordinate scheduling, registrations, and compliance., • Maintain positive working relationships with opposing schools, referees, parks departments, and facility partners., • Budget and Resource Management, • Develop and manage the athletics budget, including purchasing, reconciliation, and long-term planning., • Order, inventory, store, rotate, and distribute uniforms and equipment according to established replacement cycles., • Track uniform returns and assess fees for lost or unreturned items., • Coordinate team events, end-of-season recognition, and team celebrations within budget parameters., • Safety, Compliance and Risk Management, • Ensure compliance with league rules, school policies, and safety protocols., • Coordinate emergency information, medication access, and off-campus safety procedures in partnership with Health & Safety staff., • Confirm coach and volunteer completion of required training and certifications, including CPR/AED and First Aid., • Coordinate and oversee CPR/AED and First Aid certification for coaches and volunteers; may administer training directly or partner with other on-campus certified trainers as needed, • Demonstrate willingness to obtain CPR/AED and First Aid trainer certification., • Act as on-site administrator during games and events to address safety, behavioral, or logistical issues., • Communication and Community Engagement, • Serve as the primary athletics contact for families, faculty, staff, and external partners., • Draft and distribute clear, timely communications including season welcome emails, schedules, logistics, and expectations., • Collaborate with Communications and Admissions regarding schedules, publicity, and special events., • Recognize and celebrate student-athletes, coaches, and volunteers throughout the year., • Additional Responsibilities, • Attend and manage home games, meets, and tournaments, including setup, supervision, and breakdown., • Coordinate referees, scorekeepers, volunteers, and equipment for events., • Manage early dismissals, late returns, and real-time communication with families and faculty. Master’s degree in Educational Leadership, Sports Administration, or a related field preferred., • Minimum of 3–5 years of athletic administration, athletics coordination, or related leadership experience (independent school experience strongly preferred)., • Demonstrated experience supervising adults and conducting evaluations., • Experience working with youth athletics across multiple age groups., • Skills and Abilities, • Strong organizational and project management skills with the ability to manage multiple seasons simultaneously., • Excellent written and verbal communication skills., • Ability to build collaborative relationships with faculty, families, students, and external partners., • Budget management and operational planning experience., • Comfort with scheduling software, student information systems, and basic financial tools., • Ability to respond calmly and decisively in high-pressure or time-sensitive situations., • Personal Attributes, • Commitment to student-centered, inclusive, and developmentally appropriate athletics., • Strong judgment, discretion, and professionalism., • Flexibility and willingness to work evenings and weekends as required., • High energy, reliability, and attention to detail., • Ability to lift up to 35 pounds in connection with job duties such as assisting with classroom setup or moving materials., • Ability to stand, sit, and move comfortably throughout classrooms and school hallways for extended periods., • Ability to climb stairs, navigate uneven surfaces, and escort students as needed between locations within and outside school buildings., • Willingness to work outdoors in varying weather conditions, including inclement weather. This is an exempt, 1.0 FTE full-time, benefits eligible position. This position follows a 10-month extended (additional 4 weeks of work to be scheduled collaboratively by the AD and their supervisor) work schedule while paid over 12 months. The salary range for this position is $110,000 to $125,000 per year, depending on years of experience.
