Job Description The Front Desk Coordinator is the first point of contact for patients and visitors and plays a critical role in delivering an exceptional patient experience. Under direct and indirect supervision, this role handles front desk operations, scheduling, insurance and billing support, patient communication, and routine administrative tasks. This position is responsible for maintaining a welcoming, professional environment while supporting practice growth through strong organization, communication, and attention to detail. Key Responsibilities Front Desk & Patient Experience • Greet and acknowledge all patients and visitors promptly and professionally, • Answer and route phone calls, record and retrieve messages, and respond to inquiries, • Provide accurate information about the practice, services, and staff, • Maintain a clean, organized reception area, • Monitor patient flow and communicate delays to appropriate staff, • Memorize and deliver approved scripts in person and over the phone, • Schedule and confirm patient appointments based on provider capacity and production goals, • Coordinate specialist referrals, including sending x-rays and documentation, • Ensure patient records and required forms are complete upon arrival (HIPAA, medical history, contact info), • Open the office and prepare for daily operations, • Draft correspondence to patients and insurance providers, • Organize and maintain paper and electronic patient files, • Collect, sort, and distribute mail and deliveries, • Input and update data accurately in practice management systems, • Accept and record patient payments (in-office, mail, and phone), • Balance credit transactions and provide basic financial clerical support, • Present financing options and assist with payment arrangements, • Submit electronic and paper insurance claims, • Follow up on outstanding insurance claims and pre-authorizations, • Operate and maintain front desk equipment, • Learn and adapt to new office technologies as implemented Working Conditions & Physical Requirements • Sitting: approximately 80%, • Standing/walking: approximately 20%, • Ability to lift up to 35 pounds (equipment and supplies), • Moderate noise levels in a medical, office, and lab environment, • Frequent interaction with patients, staff, and visitors, • Near vision required for computer work and office equipment, • Ability to hear and communicate clearly by phone and in person, • Strong typing skills and hand dexterity Requirements • Strong interpersonal and customer service skills, • Professional appearance and demeanor, • Ability to handle multiple tasks and deadlines efficiently, • Comfortable working independently and in a team environment, • Detail-oriented with strong organizational skills, • Ability to maintain confidentiality in compliance with HIPAA, • Adherence to OSHA safety guidelines and office policies, • Comfortable working in a clinical environment, including exposure to blood and odors, • Willingness to assist in other areas of the office as needed, • Occasional travel for training or continuing education may be required Qualifications • High school diploma or equivalent, • Minimum of 1 year of dental office experience, • Typing speed of at least 40 WPM with accuracy, • Computer literacy, • Current CPR certification Preferred Qualifications • 2+ years of dental office experience, • Post-secondary coursework, • Associate’s degree Special Requirements • Employment may be contingent upon successful completion of a background check Benefits Package • Medical Insurance, • Paid Time Off (PTO), • 401(k), • Performance Bonuses, • Short- and Long-Term Disability If you want, I can also: • Shorten this for higher applicant volume, • Rewrite it to sound more modern / less clinical, • Optimize keywords specifically for ZipRecruiter ranking OUR PURPOSE Our purpose is to guide our patients along a path of optimal health by delivering the highest possible level of care in a friendly, safe, and comfortable environment.
