Job DescriptionDescription: Job Summary: The Print Production Assistant supports the Marketing Communications team by coordinating print production, managing project workflows, and assisting with print-related administrative tasks such as inventory tracking and report generation. This role is essential for ensuring accurate and timely delivery of materials for internal departments, external partners, and client-facing initiatives. Ideal candidates are detail-oriented, adaptable, and able to manage multiple priorities independently while providing exemplary customer service. Primary Duties and Responsibilities: The following outlines key duties typically assigned to this role, though it is not an exhaustive list. Reasonable accommodations will be made to support individuals with disabilities in performing essential functions of the job. · Coordinate internal print production and determine when outsourcing is needed based on volume and timing. · Edit and prepare production files, including print ready layouts. · Perform light design work using Adobe Creative Suite (InDesign, Illustrator, Photoshop). · Print, bind, assemble, and organize promotional or client-facing materials. · Assist departments without onsite staff by fulfilling print requests and offering walk-up support. · Track and confirm pickup of printed materials; follow up on unclaimed items. · Conduct weekly inventory of paper and printing supplies and reorder as needed. · Serve as internal point of contact for the Konica Minolta printer—manage updates, troubleshoot issues, and provide best practice guidance. · Monitor incoming requests (3x/day) via SmartSheet, HappyFox, or other workflow tools. · Flag overdue tasks, follow up on bottlenecks, and help ensure deadlines are met. · Maintain task tracking systems (daily to-do lists, weekly rush reports, monthly production summaries). · Generate production reports (e.g., rush rates, on-time delivery stats, and job trends). · Coordinate approval workflows for new material requests. · Support onboarding by educating new hires on print request processes and tools. · Final proof collateral (flyers, presentations, booklets) before print. · Assist with miscellaneous administrative projects (e.g., renaming files, updating order forms, organizing shared folders). · Help troubleshoot issues during print production (paper jams, network errors, last-minute requests). Type and Scope of Supervisory Responsibilities: None Requirements: Work Experience Required for this Job: • Previous experience in print/document production is preferred; however, consideration for experience within a position that required significant multi-tasking, coordination of rushes, ability to rotate workflow calmly and without stress., • Proficiency with Microsoft Office Suite (Excel, Teams, Word, PowerPoint)., • Familiarity with Adobe Creative Suite (especially InDesign) is a plus but not required., • Willingness to learn is essential., • Excellent organization, communication, and time management skills., • Strong attention to detail and ability to manage multiple deadlines simultaneously., • Able to troubleshoot minor printer/network issues (paper jams, toner errors, connectivity)., • Comfortable using online file-sharing and workflow platforms., • Proven experience tracking project progress and following up professionally with team members., • 1–3 years of relevant administrative, high-workflow / multitasking, or print/marketing support experience., • Previous experience in print/document production is preferred; however, consideration provided for experience within a position that managed high-traffic requests with strong communication and customer support. Skills and Qualifications: • Prior experience in document editing, office administration, or workflow coordination is helpful but not required., • Ability to work independently and communicate clearly across departments., • Willingness to perform hands-on print tasks and respond to last-minute needs with a calm, get-it-done attitude., • Excellent attention to detail and commitment to quality., • Strong organizational and time-management skills; able to prioritize and meet tight deadlines., • Proficiency in MS Office (MS Excel, MS Teams, and MS PowerPoint, in particular)., • Proficiency in or ability to learn new software (InDesign, Excel, Word, Beautiful.ai)., • Working knowledge of office equipment, like printers and copier machines., • Excellent time management skills and the ability to prioritize work., • Attention to detail and problem-solving skills. Excellent written and verbal communication skills., • Superior customer service., • Experience with online file sharing and project management platforms. Education Required for this Job: · This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. for the employee’s work location. Occasional evening and weekend work may be required as job duties demand. · This is a seasonal position. Employment will be in effect from September until December 31, 2025. Travel: · Travel is not commonly required for this job but could occasionally be required.
