Position Summary The Compliance Manager is primarily responsible for key business functions of our commercial construction company, including risk management, regulatory compliance, and contracts administration. Additionally, the Compliance Manager supports in the general administration of office operations, including Information Technology, and Human Resources, including liaising with our Professional Employer Organization (PEO) and onboarding of new employees. This role ensures reduction of operational risk through strong internal controls, contracts review and coordination, compliance with policies, while supporting project and executive teams. The ideal candidate is highly organized, detail-oriented, and experienced in managing multiple priorities in a fast-paced construction environment. Key Responsibilities: Contracts Review and Administration • Review incoming contracts, subcontracts, service agreements, and vendor documents for completeness, required forms, insurance compliance, and administrative risk items., • Identify non-standard terms and escalate legal, insurance, indemnification, payment, and compliance concerns to leadership or legal counsel., • Track contract execution status, deadlines, insurance requirements, and other key deliverables., • Maintain organized contract files and logs for easy retrieval and audit readiness., • Support project and estimating teams with collection and review of contract documents, insurance and bond requirements, prequalification packages, and compliance paperwork., • Assist in coordinating document flow between clients, subcontractors, vendors, and internal stakeholders. Risk Management and Compliance • Support company compliance with federal, state, and local regulations related to construction operations, employment, and workplace safety., • Track and maintain business and construction licenses, registrations, insurance certificates (for our company and our subcontractors on projects), bonds, and contractor compliance documentation., • Monitor deadlines for renewals, certifications, and required reporting., • Assist with risk management documentaon including incident reports, claims tracking, and subcontractor compliance records., • Coordinate with insurance brokers, legal counsel, and internal leadership regarding claims, policy updates, and risk-related issues., • Help maintain company policies and procedures to support regulatory and contractual compliance., • Help maintain accurate records for audits, reporting, and internal controls. Human Resources Support • Administer employee onboarding, orientation, and new hire paperwork., • Liaise with IT for office technology maintenance of hardware and software., • Maintain personnel files, HR records, and compliance documentation in accordance with company policy and legal requirements., • Assist with benefits administration, employee notices, training records, and workers’ compensation documentation., • Track employee certifications, licenses, training completions, and required compliance records., • Support performance review processes, disciplinary documentation, and policy acknowledgments., • Serve as a point of contact for routine employee questions related to office and HR procedures. Qualifications • Bachelor’s degree required in Business Administration, Human Resources, Construction Management, or related field; equivalent experience considered., • 7 – 12+ years of risk management, contract administration, HR coordination, and administrative leadership experience, preferably in commercial construction., • Strong understanding of construction compliance requirements, office procedures, and subcontractor/vendor documentation., • Experience reviewing contracts for administrative, insurance, and compliance terms., • Knowledge of HR administration, employee recordkeeping, onboarding, and workplace compliance., • Proficiency in Microsoft Office Suite; experience with construction management, Human Resources Information (HRIS) systems, accounting, or document control software preferred., • Excellent organizational, communication, and problem-solving skills., • Ability to handle confidential information with professionalism and discretion., • Strong attention to detail and ability to manage multiple deadlines in a fast-paced environment. Technical Skills • Familiarity with contracts, subcontracts, certificates of insurance, bonds, lien waivers, certified payroll, and subcontractor compliance., • Ability to read and flag risk-related contract language for management review., • Experience in a multi-project commercial construction setting.
