Job Description Patent Portfolio Specialist (Paralegal / IP Experience Required) This is not a traditional paralegal role — this is a portfolio ownership position with high visibility and impact. About the Role We’re looking for a highly organized, detail-oriented Patent Portfolio Specialist to take ownership of day-to-day patent operations and help manage a growing intellectual property portfolio. This role acts as the key bridge between our business and outsourced patent attorneys, ensuring deadlines are met, filings stay on track, and our patent portfolio remains accurate and well-managed. If you enjoy owning processes, tracking critical deadlines, and working cross-functionally with legal and technical teams—this is a high-impact role with real visibility. What You’ll Do • Manage and track U.S. and international patent deadlines (filings, office actions, maintenance, etc.), • Open and organize new patent matters, including invention disclosures and supporting documentation, • Coordinate with outside patent counsel and foreign associates on filings and prosecution activities, • Maintain and update docketing systems and portfolio records, • Track office actions, responses, and next steps to ensure nothing slips through the cracks, • Support PCT and foreign filing processes, including timelines and documentation, • Monitor key milestones (allowances, publications, issuances, maintenance deadlines), • Generate status reports for management on portfolio activity and deadlines, • Review correspondence from patent offices and route appropriately, • Assist with billing, invoice tracking, and cost reporting, • Collaborate with engineers, inventors, and internal stakeholders to gather required information What We’re Looking For • Experience as a Patent Paralegal, IP Paralegal, or Patent Portfolio/Docketing Specialist, • Strong understanding of patent prosecution processes (U.S. + international preferred), • Proven ability to manage multiple deadlines and prioritize effectively, • Experience working with outside counsel or legal vendors, • High attention to detail and strong organizational skills, • Comfortable working independently and taking ownership of responsibilities, • Experience with docketing systems and document management tools, • Strong communication skills (written and verbal) Nice to Have • Experience supporting PCT and foreign filings, • Patent portfolio administration experience, • Background working with technical teams or inventors Why This Role Stands Out • Own the process — not just task-based work, • High visibility with leadership and direct impact on business operations, • Work cross-functionally with legal, technical, and business teams, • Be a key player in building structure around a growing patent portfolio Compensation & Benefits • Competitive salary, • Benefits package (health, PTO, etc.)
