Job Description Job Descriptions Treatment Coordinator Description: We are a well established periodontal practice with offices in Corona and Tustin. We are seeking a self-motivated, energetic TREATMENT/FINANCIAL COORDINATOR to join our team. We are looking for a detail oriented person with strong communication skills and a commitment to patient centered, quality care. This position will be based in our Corona office, and will require travel to our Tustin office 1 day a week. The Treatment Coordinator is responsible for new patients’ smooth transition into the practice, existing patients’ ongoing dental care, communication with patients during treatment, and communication with specialty offices. Qualifications: · Minimum 3 years experience treatment coordinating (specialty experience preferred). RDA experience is preferred. • Understand dental terminology., • Experience in ADA coding and insurance billing., • Understand and comply with policies and procedures associated with a dental practice., • Understand and comply with HIPAA., • Understand and comply with the HITECH Act of 2009., • Working knowledge of dental practice management software (Dentrix, Eaglesoft, etc.). Working knowledge of Opendental is preferred., • Understand and use written information that may be presented in a variety of formats, such as text and tables. Thoroughly read communication/paperwork from patients, insurances, general dentists’ offices, medical doctors’ offices and be able to critically analyze the data. Communications may include EOBs, referrals, requests for information, etc., • Express ideas and information in written form clearly, succinctly, accurately, and in an organized manner; use English language conventions of spelling, punctuation, grammar, and sentence and paragraph structure; tailor the written communication to the intended purpose and audience., • Calculate patient copays and insurance benefits from benefits summaries, pre-authorization notices, and claim EOBs., • Develop specific goals and plans to prioritize, organize, and accomplish your work., • Interact with others in ways that are friendly, courteous, and tactful., • Demonstrate respect for individuals, cultural differences, and the attitudes and feelings of others., • Work cooperatively and collaboratively with others to achieve goals by sharing or integrating ideas, knowledge, skills, information, support, resources, responsibility, and recognition., • Attend to, receive, and correctly interpret verbal communication and directions through cues such as the content and context of the message and the tone, gestures, and facial expression of the speaker., • Express ideas and facts orally in a clear and understandable manner that sustains listener attention and interest; tailor oral communication to the intended purpose and audience., • Select, access, and use necessary information, data, and communications-related technologies to accomplish work activities; such activities may include basic personal computer applications, telecommunications equipment, internet, electronic calculators, voice mail, email, facsimile machines, and copying equipment., • Obtain facts, information, or data relevant to a particular problem, question, or issue through observation of events or situations, discussion with others, research, or retrieval of information from written or electronic sources; organize, integrate, analyze, and evaluate information., • Anticipate or identify problems and their causes; develop and analyze potential solutions or improvements using rational and logical processes or innovative and creative approaches when needed. Patient Services • Greet new patients., • Prepare charts ahead of the patient visit to ensure all necessary materials are in place. This includes checking insurance benefits and verifying eligibility, calculating co-pays, making sure consents are signed and pre-authorizations for treatment are received, etc., • Take patient x-rays if needed, • Review patient health histories., • Set up consultation room for patient consultation appointments., • Maintain a professional appearance within the reception area/office (organize patient education materials and magazines, straighten up the facility, report any larger maintenance issues to administrative assistant for follow-up)., • Coordinate patient appointments with general dentists’ offices and manage communications with general dentists’ offices when requested., • Present treatment plans to patients when instructed by the Dentist., • Maintain communication with patients and their general dentist to ensure the patient is able to complete their treatment in a timely and smooth manner., • Complete patient appointment by sending out claims/pre-authorization requests. Complete any additional paperwork or communication which is necessary to ensure the patient receives treatment in a timely fashion, such as completing medical clearances or communicating with the general dentist’s office., • Send records to general dentists when necessary, • Securely store and handle patient records in compliance with legal requirements, including HIPAA privacy and security regulations, • Communicate insurance and patient payment responsibilities to the patient
