Job Description Operations Manager – Property & Asset Management Salary: $90,000 – $120,000 per year Employment Type: Full-time | In-person About the Company We are a privately held real estate and property management organization overseeing a varied portfolio that includes commercial assets, apartment communities, single- and multi-family residences, mobile home parks, and agricultural land throughout West Texas and Southern California. Our focus is disciplined operations, strong financial stewardship, and long-term asset performance. We are building a leadership team capable of running day-to-day operations with precision while executing against a clear strategic vision. Role Summary The Director of Operations is responsible for translating company strategy into execution across property management, construction oversight, financial coordination, and team leadership. This individual acts as the operational backbone of the organization—ensuring systems, people, and projects move forward efficiently and consistently. This role works closely with ownership and executive leadership and is entrusted with broad authority over operational decisions, while remaining closely aligned with executive direction. Core Responsibilities: Operational & Property Oversight • Lead day-to-day operations across a multi-state real estate portfolio, ensuring consistency, compliance, and performance standards are met., • Partner with on-site and regional property managers to review operations, resolve issues, and maintain asset quality., • Oversee vendor relationships and service contracts, including maintenance, landscaping, inspections, and specialty trades., • Ensure compliance with applicable federal, state, and local regulations related to property operations and employment practices., • Maintain clean, accurate, and up-to-date records within property management systems (AppFolio or similar)., • Continuously evaluate workflows and introduce improvements that increase efficiency and accountability., • Coordinate with legal counsel on leasing matters, HR considerations, and operational risk items., • Ensure daily operations and staff execution remain aligned with executive priorities and leadership direction. Financial Coordination & Oversight • Develop, monitor, and adjust operating budgets for individual properties and the overall portfolio., • Review and approve operational expenses, including repairs, utilities, and recurring vendor costs., • Work in close coordination with accounting and finance partners to support accurate reporting and controls., • Participate in property tax review and protest processes in collaboration with assessors or third-party firms., • Support payroll review, expense tracking, and bi-weekly processing cycles., • Prepare and evaluate pro formas and cost-benefit analyses to inform capital decisions and asset strategy., • Execute financial and operational decisions in accordance with the strategic and fiscal objectives set by executive leadership. People Leadership & Internal Management • Directly oversee property managers, maintenance personnel, and administrative team members., • Support recruitment, onboarding, training, and performance evaluation of operational staff., • Establish clear expectations, accountability structures, and communication rhythms across teams., • Serve as a consistent point of alignment between ownership, corporate operations, and field teams., • Address performance issues with professionalism, clarity, and decisiveness., • Guide team performance and decision-making in a manner consistent with the CEO’s operating philosophy and expectations. Construction, Projects & Capital Improvements • Plan and manage renovations, capital improvement projects, and major maintenance initiatives., • Develop scopes of work, cost estimates, and project timelines for construction-related efforts., • Coordinate with contractors, architects, engineers, and vendors to ensure quality, budget, and schedule adherence., • Oversee insurance claims related to property damage, ensuring proper documentation and follow-through., • Conduct site visits and progress reviews to assess workmanship and compliance., • Identify opportunities for cost efficiencies in materials, labor, and project sequencing., • Advance capital projects in alignment with executive priorities, risk tolerance, and long-term asset strategy. Qualifications Education & Experience • Bachelor’s degree in business, real estate, construction management, or a related discipline preferred., • 5+ years of experience in operations leadership, property management, or real estate-focused roles., • Demonstrated experience managing multi-family and commercial assets., • Strong working knowledge of budgeting, financial reporting, and operational controls., • Experience with property tax matters, insurance claims, and vendor negotiations., • Proficiency with property management software (AppFolio preferred). Physical Requirements & Travel • Ability to conduct physical property inspections, including walking properties, stairs, and light lifting., • Regular travel to Texas properties required (approximately 25%).
