Job Description A4E is a dynamic and collaborative architectural firm specializing in K-12, higher education, and public institutional projects throughout California. We are seeking an experienced Studio Administrator, an organized, proactive, and people-centered professional to join our expanding team. In this role, you won't just keep the office running, you'll be the centerpoint of our studio, empowering our architects and designers to focus on what they do best: creating innovative spaces for learning and growth. What You'll Do Studio Operations & Culture • Manage the function of the studio, including office systems, equipment, and supplies, ensuring a polished and inspiring work environment., • Coordinate with vendors for janitorial services, maintenance, and furniture needs—because a great studio deserves great support., • Serve as the friendly, professional first point of contact for callers, visitors, and deliveries, representing the A4E brand with poise., • Facilitate employee onboarding, ensuring new team members feel welcomed, equipped, and excited to be here from day one., • Oversee employee timesheets and support payroll coordination., • Partner with IT to facilitate hardware, software, and troubleshooting needs, keeping our design technology running smoothly., • Support project teams with administrative coordination, including AIA contract documentation and filing., • Assist the marketing team with printing, binding, and delivering proposals, and preparing materials for interviews., • Coordinate client, consultant, and vendor invoicing in partnership with our bookkeeper, ensuring financial workflows stay on track. What You Need • Experience in an administrative, office management, or studio coordination role, preferably within an architecture, design, or creative professional services firm., • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new software tools. Familiarity with design tools (Revit, Adobe, etc.) is a plus but not required., • A professional, adaptable disposition. You thrive in a fast-paced creative environment and can shift from ordering supplies in the morning to supporting a client meeting in the afternoon., • A genuine passion for enabling others to do their best work—and a desire to be part of a team that designs spaces that truly make a difference. Flexible Schedule & Growth Opportunities • Based in the A4E Pasadena office, local candidates preferred., • Part-time, direct-hire position, 16-24 hrs per week (3 days)., • Tuesdays and Thursdays are our team days; choose your third in-office day to suit your schedule.
