Job Description We are looking for a Benefits Specialist to join our team in Sacramento! Position Summary: The Benefits and Leave Coordinator will be responsible for providing administrative support for employee benefits and leave of absence programs in compliance with organizational policy and applicable federal and state regulations. This role ensures that employees receive timely, accurate, and compassionate assistance related to benefits enrollment, eligibility, and leave requests. Essential Responsibilities: • Assist with the administration of health benefits programs, including medical, dental, vision, life insurance and disability plans., • Maintain up-to-date benefits records and ensure that benefit related data is correctly entered into the HRIS system and coordinate updates with payroll., • Educate employees on available benefits and provide information regarding options, eligibility, and coverage, while assisting with open enrollment, new hire enrollments, life event changes, and terminations in coordination with benefit carriers., • Assist in maintaining accurate records and reports related to the benefits programs and employee participation., • Respond to employee questions and assist with online enrollment systems., • Assist with coordinating with third-party administrators, insurance carriers, and benefits vendors to resolve issues, process claims, and ensure high quality service., • Review employee benefits paperwork for accuracy, completeness, and compliance with eligibility and enrollment requirements., • Assist with monitoring employee status changes (e.g., part-time to full-time) and proactively communicating with employees regarding benefits eligibility and enrollment; ensure the HRIS system accurately reflects updated eligibility based on status changes., • Assist with employee leave requests, ensuring compliance with FMLA, CFRA, PDL, ADA, and company policy., • Calculate employee eligibility and entitlement under FMLA and CFRA, including tracking and calculating exhaustion of leave balances., • Assist with tracking leave eligibility, required documentation, and certification deadlines., • Assist with communicating with managers and supervisors regarding employee leave status, anticipated return-to-work dates, and any related updates to ensure smooth departmental coordination., • Assist with communicating approval, denial, and return-to-work processes in a timely manner to employees., • Assist with coordinating with the IT Helpdesk to activate or deactivate employee system access during leaves of absence and upon returning from leave., • Enter and update timecards for employees on continuous leave in a timely manner in compliance with payroll deadlines., • Monitor and record intermittent leave usage, ensuring accurate documentation of timecards and hours used during protected leave periods., • Process employee benefit premium checks and promptly forward them to the Accounting department for reconciliation and recordkeeping., • Maintain and update tracking spreadsheets to record benefit premium payments received, ensuring accuracy and timely record updates., • Follow-up on benefits premium payment check/money order, missed payments., • Communicating and following up via email and phone calls to employees about benefits premium payment during leave., • Scan and upload leave documentation into employee leave files to ensure accurate and accessible recordkeeping., • Maintain up-to-date and organized records in employee leave folders in compliance with confidentiality and record retention requirements., • Complete Employment Development Department (EDD) forms and other required documentation for employees on leave in an accurate and timely manner., • Ability to document detailed and accurate notes in employee’s leave tracking spreadsheet, ensuring clear and complete information for leave, benefits premiums, and HR processes., • Perform other duties as assigned. Required Qualifications: • High School diploma required; AA degree preferred OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job., • Strong attention to detail, organization, and concise written and communication skills., • Basic knowledge of FMLA, CFRA, ADA, and PDL regulations., • Experience with HRIS systems and benefits administration platforms., • Ability to maintain confidentiality and handle sensitive information with professionalism, demonstrating a strong commitment to ethical standards and discretion in all matters., • Strong customer service orientation and empathy when working with employees., • Communicate clearly and compassionately about leave processes and benefit options., • Provide exceptional customer service and guidance to employees on benefits and leave questions., • Intermediate level with Microsoft Word, Excel, PowerPoint, Outlook and database software., • Ability to use standard office equipment including phone, fax, and copier., • Must be able to work independently and prioritize tasks based on deadlines., • Exceptional interpersonal skills including active listening, problem solving, and ability to remain calm in emotional or stressful situations., • Must have the ability to work effectively with employees, managers, and the public., • Must be able to work collaboratively in a team environment, respecting and valuing the perspectives and experiences of others. This is a Permanent position based out of Sacramento, CA. Pay and Benefits The pay range for this position is $62691.00 - $62691.00/yr.
