We’re looking for an AP/AR to join our team. The Accounts Payable and Receivable Specialist plays a pivotal role in ensuring smooth financial operations within a dynamic publishing environment. This position supports the flow of funds between authors, vendors, distributors and partners by managing invoices, processing payments, and handling both the expense report and credit card programs. With keen attention to detail, the AP/AR Specialist helps maintain financial transparency and contributes to the successful launch of every title. The ideal candidate brings strong organizational skills and publishing know-how to help turn pages into profits—while keeping relationships with authors and partners positive and proactive. Key Responsibilities: • Accounts Payable, • Process invoices from authors, illustrators, editors, printers and freelance contributors, • Track and disburse royalties and advances according to contract terms, • Manage vendor payments for distribution, marketing, and production costs, • Maintain records for licensing fees, printing services and event expenses, • Accounts Receivable, • Generate invoices for bulk sales, subrights and digital platform revenues, • Record incoming payments from wholesalers, retailers, and online channels, • Track subsidiary rights income (e.g., foreign rights, audio rights deals), • Prepare detailed aging reports and assist with collection outreach, • General Duties, • Monitor both the AP and AR inboxes, and communicating with vendors and customers to ensure timely payments and collections, • Support finance team during fiscal year-end close and reporting to publishing partners, • Own the expense report process including reconciliation and reporting of Concur charges, • Administer the corporate card program including requests for new cards, cancellation of cards and processing monthly payments, • Ad hoc requests including management inquiries, special projects and other one-off requests as needed Qualifications: • Bachelor’s degree in finance, accounting or a related field, • Strong communication skills for liaising with authors, agents and editorial team, • Solid organizational, multi-tasking and ability to work under tight deadlines, • Ability to work independently and collaboratively in a fast-paced environment, • 2+ years’ experience in book publishing or media industries is a plus Compensation & Benefits: • Competitive salary and paid time off, • Summer Fridays, • Comprehensive medical, dental and vision coverage, • Company 401(k) plan with employer contributions This role is based in New York, NY with a 3-day-per-week in office, hybrid work schedule.
