Summary The Event Marketing Coordinator is responsible for supporting the planning, promotion, and execution of high-impact events that enhance brand awareness, community engagement, and organizational visibility. This role blends creativity with logistical excellence, developing compelling marketing materials while managing end-to-end event operations. The ideal candidate is highly organized, detail driven, and able to thrive in a fast-paced, deadline-oriented environment. Essential Job Functions Event Planning & Management • Assist in planning, coordinating, and executing all RMHCCF signature events., • Manage event logistics, including venue coordination, vendor management, registration, staffing, run-of-show, and on-site support., • Manages existing sponsor partners and actively identify and seek out new partners for sponsorship., • Coordinates all event committee activities and meetings., • Coordinate with internal teams to secure event needs., • Clearly defines staff and volunteer coverage for event preparation, delivery acceptance, event oversight, and event wrap-up/assessment., • Track event timelines, budgets, inventory, and materials to ensure smooth execution., • Produce engaging marketing collateral such as flyers, invitations, signage, digital graphics, presentations, and social media assets., • Write promotional copy for event announcements, social posts, email campaigns, and landing pages., • Ensure branding, tone, and messaging remain consistent across all creative assets., • Support photography and video needs for events, including shot lists, media coordination, or basic content capture., • Implement marketing plans to promote events across email, social media, website, and community channels., • Assist with social media content scheduling and posting related to events and community initiatives., • Maintain marketing calendars and help track project timelines., • Maintain shared event inbox and respond or allocate next steps and assign out accordingly, • Maintain organized project files, asset libraries, and event documentation., • Coordinate shipping, deliveries, inventory management, and event supply tracking., • Assist with budgeting tasks, including quotes, invoices, and vendor payments. Ancillary Job Functions • Will be supporting community fundraising events at off-site locations. Education and Experience – An equivalent combination of education, training, and experience will be considered. • Bachelor’s degree preferred, • 1-2 years minimum experience in event planning and management, preferably within a nonprofit setting, • Experience with soliciting and negotiating contracts with vendors and event venues, • Knowledge of databases and their capabilities, • Possess strong office skills and knowledge of general office equipment, • Excellent calendar management skills, • Strong proficiency of MS Office, including Word, Excel, PowerPoint, and Outlook, • Valid Florida driver’s license and operable vehicle.
