This position ensures data is accurate, consistent, and accessible for internal analysis, fundraising, grant reporting, contract compliance, and strategic planning. The Data Coordinator maintains financial records, processes transactions, and supports budget tracking to ensure fiscal accountability alongside programmatic data management. The role supports agency-wide data collection practices and leads improvements to ensure effective tracking of programmatic outcomes, client progress, agency operations, and organizing fundraising and donor data for strategic use. Working closely with both financial and program staff, the Data Coordinator collaborates with department leaders to foster data-informed decision-making and a culture of continuous improvement through comprehensive data and financial record management. Essential Duties and Responsibilities * • Maintain accurate financial records, including accounts payable/receivable, expense tracking, and transaction processing., • Reconcile bank statements, credit card accounts, and other financial accounts on a regular basis., • Process invoices, receipts, and financial documentation to ensure timely payments and accurate record-keeping., • Support budget monitoring and financial reporting by tracking expenditures against approved budgets., • Assist with payroll processing, tax documentation, and compliance with financial regulations., • Prepare financial summaries and reports for leadership review and grant reporting requirements., • Maintain and support The Arc's central data system (e.g., Apricot), ensuring reliable tracking across all programs., • Assist departments in accurate and timely data entry related to services, deliverables, and outcomes., • Coordinate internal data collection timelines to meet external grant and contract reporting deadlines., • Support the creation of custom reports and dashboards to visualize program impact., • Perform regular data audits and cleaning to ensure consistency, accuracy, and audit readiness., • Serve as the internal point of contact for data system troubleshooting and user support., • Collaborate with leadership to align data collection tools with strategic goals., • Provide training and technical assistance to staff on data entry, system updates, and best practices., • Assist in gathering and formatting data for grant applications, board reports, and community presentations., • Maintain documentation of data protocols, field definitions, and system updates., • Monitor system performance and coordinate with vendors or IT support for maintenance or upgrades., • Participate in organizational meetings, staff trainings, and cross-department projects., • Provide support during audits and site visits by preparing data files and documentation as needed., • Contribute to agency-wide efforts to improve outcomes, efficiency, and service quality. Job Competencies * • Proficiency in finance principles, including double-entry accounting, financial record maintenance, and basic accounting software (e.g., QuickBooks, Sage, or similar), • Experience with accounts payable/receivable processes, bank reconciliations, and expense tracking, • Knowledge of nonprofit financial practices, including fund accounting and grant financial reporting requirements, • Familiarity with payroll processing, tax documentation, and financial compliance standards, • Strong attention to detail and commitment to data accuracy, • Ability to troubleshoot, problem-solve, and offer process improvements, • Familiarity with data systems and reporting tools used in nonprofit environments, • Ability to communicate clearly and work across departments, • Comfortable managing confidential and sensitive information, • Self-starter with strong time management skills and the ability to work independently, • Comfortable training others and providing ongoing support on data procedures, • Ability to manage multiple projects, timelines, and priorities Qualifications: * • High school diploma required, Bachelor's degree in accounting, finance, business, or related field preferred, • Understanding of data analysis methods, trends identification, and outcome measurement, • 2+ years of experience in data management, data entry, or program support, • 1-3 years of bookkeeping or accounting experience, preferably in nonprofit or similar organizational setting, • Experience with a data system such as Apricot, Salesforce, or similar platforms, • Proficiency in accounting software (QuickBooks, Sage, Xero) and advanced Excel skills for financial analysis, • Knowledge of basic accounting principles, including accounts payable/receivable, bank reconciliations, and financial reporting, • Familiarity with nonprofit fund accounting and grant financial reporting requirements preferred, • Proficiency in standard office software and systems, • Strong organizational and written communication skills, • Exceptional attention to detail and mathematical aptitude for financial accuracy, • Ability to maintain strict confidentiality with financial and sensitive organizational information
