About the Job We're a Series A startup in the NYC metro area moving fast and scaling aggressively. We have 10 employees today—we'll have 50+ within a year. This is the moment where infrastructure either becomes our competitive advantage or our bottleneck. You'll build the operational foundation that lets us move at speed without breaking. This isn't a typical ops role. You're not maintaining systems someone else built—you're creating them from scratch. You'll own everything from office buildouts to vendor negotiations to executive logistics. One day you're touring potential headquarters locations, the next you're setting up workstations for five new hires, the next you're synthesizing vendor research that impacts a six-figure marketing decision. We work hard. We play hard. The team stays late because we're building something that matters, and the energy in the office reflects that. What You'll Do Office & Facilities Operations: • Source, purchase, and set up laptops, monitors, desks, and equipment for new hires—everything ready before they walk in., • Help find and secure our new headquarters: tour potential spaces, gather pricing, negotiate terms, coordinate the move., • Keep the office tidy and functional—coordinate with building cleaning services, handle day-to-day tidying, and manage facility vendors as needed., • Greet guests, manage reception area, and ensure the office represents the company well. Vendor & Logistics Coordination: • Research vendors for marketing campaigns, office supplies, and services—get pricing, compare options, synthesize findings into clear, actionable reports., • Own vendor relationships: negotiate contracts, manage invoices, troubleshoot issues., • Package and ship customer plaques and other fulfillment tasks as needed. Executive & Administrative Support: • Book travel (domestic and international) for founders and team., • Coordinate scheduling, meetings, and logistics across the company., • Make calls, handle correspondence, and clear operational blockers for leadership., • Anticipate needs before they're asked—proactive, not reactive. Systems Building: • Create repeatable processes for onboarding, equipment setup, vendor management, and office operations., • Scale infrastructure as the company grows from 10 to 50+ employees—build systems that work at scale, not just today. Work Expectations (Non-Negotiable) • In-office, five days a week, full-time (New York City metro area)., • This is NOT remote, hybrid, or flexible scheduling., • Occasional early mornings or late evenings depending on travel bookings, office setup deadlines, or vendor coordination., • We care about outcomes, not hours—but this role requires physical presence to manage office operations and support the team., • The pace is relentless. If you need predictable 9-to-5 structure, this isn't the place. What We're Looking For • 2+ years in office operations, startup operations, or executive/administrative support roles., • Exceptional communication skills: ability to synthesize research and present findings in crystal-clear, readable, actionable formats. Your reports need to be easy to navigate and decision-ready., • Proficiency with Google Docs, Google Sheets, Excel, Word, Notion—not just using the tools, but producing meticulously organized, professional deliverables., • Meticulously organized. You manage multiple workstreams without dropping details or creating confusion., • Comfort with both strategic work (office location scouting, vendor negotiations) and tactical execution (packing boxes, setting up monitors)., • Self-starter who anticipates problems and solves them without being asked., • You'll interface with executives, vendors, landlords, and the entire team—clear, professional communication is non-negotiable., • Thrives in high-intensity, fast-moving environments. You get energized by chaos, not drained by it., • Legal U.S. work authorization. Nice to Have • Prior experience at early-stage startups (Series A/B preferred) during hypergrowth phases., • Familiarity with office buildouts, lease negotiations, or vendor contract management., • Experience coordinating complex travel or events., • Comfortable traveling with the team when needed to support operations on the road., • Comfortable jumping into random operational tasks—this role evolves as the company scales.
