Job DescriptionProperty Manager Work Arrangement: Remote Location Requirement: Must reside within 100 miles of Sacramento, CA Onsite Requirement: Occasional onsite presence as needed Schedule: Day Shift | Monday-Friday | 8:00 AM-5:00 PM Position Overview This position supports a large, enterprise real estate portfolio and is not a property management role. The ideal candidate brings deep expertise in commercial lease interpretation, lease abstraction, financial reconciliation, and compliance within complex real estate environments. Key Qualifications • Proven experience with commercial real estate leases (office, medical office, retail, etc.), • Residential or apartment experience alone is not sufficient, • Strong lease administration background (not property management), • In-depth understanding of commercial lease structures, including Base Year Leases, Gross Leases, Triple Net (NNN) Leases., • Ability to conduct CAM and NNN audits, with clear understanding of landlord vs. tenant responsibilities, • Experience calculating CPI adjustments and rent escalations, • Strong knowledge of lease provisions such as: Rights of First Refusal (ROFR), Rights of First Offer (ROFO), Insurance requirements, • Ability to interpret and explain complex lease language clearly and accuratelyResponsibilities, • Review, interpret, analyze, and abstract commercial leases, amendments, purchase agreements, assignments, options, and related legal documents, • Abstract and audit lease documents using standardized protocols, entering all key terms and payment schedules into the lease administration system, • Interpret lease language to determine financial responsibility between landlord and tenant for operating expenses, • Track and manage critical lease dates (commencements, renewals, expirations, options) and notify stakeholders of upcoming milestones, • Support compliance reporting related to physician lease regulations and internal policies, • Manage estoppel certificates and Subordination, Non-Disturbance, and Attornment Agreements (SNDAs) in coordination with legal teams, • Maintain mastery of lease administration databases, workflows, and systems, • Coordinate monthly payment of base rent, CAM, NNN, and other operating expenses in accordance with lease terms, • Generate tenant and third-party billings and ensure accurate receivables reporting, • Calculate and apply CPI and other contractual rent escalations, • Review, audit, and resolve billing discrepancies and non-contract-compliant charges, • Track tenant improvement allowances and security deposits, ensuring proper accounting and reconciliation, • Coordinate insurance compliance and Certificates of Insurance (COIs) through risk management systems, • Collaborate with finance and legal teams on delinquency actions and escalated disputes, • Maintain complete and accurate electronic and physical lease files, • Produce lease abstracts, portfolio reports, rent rolls, and leadership summaries, • Analyze floor plans and stacking diagrams according to BOMA standards to ensure accurate rentable and usable space calculations, • Support special projects including market research, space planning, portfolio analysis, and Net Present Value (NPV) analysis, • Assist with integration and maintenance of real estate databases and reporting platforms (e.g., financial systems, analytics tools)Education & Experience, • Bachelor's degree required (or equivalent relevant experience), • Minimum 5 years of recent, relevant commercial lease administration experience, • Skills & Competencies, • Strong ability to interpret, administer, and explain complex commercial lease documents, • Solid understanding of accounting principles related to lease administration, • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe products, • Excellent verbal and written communication skills, • Strong organizational skills with ability to manage large workloads independently, • Proven ability to maintain organized documentation and support audits, • Effective collaborator with internal stakeholders, external landlords, tenants, vendors, and executive leadership Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and 401K plan.
