Job DescriptionJob Title: Receptionist Job Description This position is responsible for managing all aspects of the initial contact with the company for visiting guests, vendors, consultants, and telephone correspondence. The role ensures that guest requirements are met and involves performing a variety of clerical and administrative duties as needed. Responsibilities • Control access to the facility and ensure that only properly cleared visitors are authorized entry, including oversight of secured locations such as the front vehicle gate, pedestrian gate, and lobby entrances., • Screen and grant access to each secured location, ensuring visitors, guests, vendors, and contractors are met courteously and respectfully., • Check credentials of visiting bureaucratic agencies and ensure all visitors are signed in and given guest passes., • Notify employees of guest arrivals and direct visitors appropriately., • Address visitor needs, including stocking conference rooms and kitchens with supplies, coordinating lunch orders, and cleaning up after events., • Maintain stock levels of office and kitchen supplies, monitor inventories, and submit orders as needed., • Receive, review, and distribute incoming mail, calculate and post postage for outgoing mail, and maintain mailing supplies., • Run errands for supplies and other miscellaneous needs., • Handle miscellaneous office duties and projects, including scanning, data entry, typing, filing, and other clerical tasks., • Handle miscellaneous documents as necessary., • Utilize computer skills, particularly Microsoft Excel., • Promote a safe and harmonious work environment and maintain compliance with SOPs, GMPs, and company policies.Essential Skills, • Proficiency in front desk operations, administrative support, and customer service., • Experience with answering phones, handling inbound and outbound calls, and greeting visitors., • Strong clerical and administrative skills, including bookkeeping., • Proficiency in Microsoft Excel, Word, and Office programs., • Experience in data entry and inventory management.Additional Skills & Qualifications, • An associate degree in business or a related field from a regionally accredited institution is preferred but not required., • At least 2-5 years of experience in an office environment, including bookkeeping duties and general computer functions., • General knowledge of payroll processes and effective customer service practices., • Understanding of business English and math.Work Environment The position is on-site, full-time, from Monday to Friday, 7:00 AM to 3:30 PM. It is a pretty independent role at the front desk, with no team stationed there. Job Type & Location This is a Contract to Hire position based out of Syracuse, New York. Pay and Benefits The pay range for this position is $18.50 - $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
