Job Description Organizational Summary Maternity Care Coalition (MCC) is a community-based nonprofit organization serving Pennsylvania and Delaware with over four decades of commitment to improving maternal and child health and early care and education. Position Summary MCC's Community Doula and Lactation Program offers comprehensive trainings grounded in Reproductive and Racial Justice to community members; supports pregnant and parenting families by pairing them with trained Doula and Lactation Community Health Workers (DLCHWs)/Community Doulas; and offers various workshops and trainings for childbearing families and the birth worker community. The Program Associate provides administrative and programmatic support to Maternity Care Coalition’s Community Doula and Lactation Program. Responsible for all administrative tasks related to the Community Doula Network referral/match program. Core Functional Responsibilities • Provides general administrative support to the Program Manager, training coordinator, and program staff, including responding to phone and email messages, scheduling meetings, preparing agendas, materials, and handouts, and writing minutes., • Responsible for supporting the Community Doula referral/match program, including responding to all requests for doula support services from pregnant families and referral partners and matching active community doula network members with families., • Communicates with DLCHWs and community doulas to ensure delivery of client services and compliance with program scope of work:, • Follows up with DLCHWs/doulas to ensure they are connecting with matched client families in a timely manner and tracks the status of doula support., • Responsible for the distribution of client satisfaction surveys for clients who have concluded doula support services., • Provides guidance and resources to DLCHWs/doulas to support their clients’ needs and concerns, including referrals to other MCC programs, as needed., • Collects and verifies doula contact forms submitted by community doula network members for payment, prepares and submits their invoices for payment, and tracks and attributes them to the appropriate funding sources., • Updates program forms related to doula support and clients and process protocols as needed., • Updates and monitors tracking protocols required by MCO funders., • Utilize the database for review and confirmation of all forms submitted by doulas for support provided to childbearing families., • Assists with the preparation of program reports., • Assists with securing space for and planning Doula Network-related activities., • Participates in team, site, and one-on-one supervision meetings as requested., • Attend community meetings, health fairs, and events, and represent MCC as needed., • Adheres to the MCC’s security guidelines and ensures the appropriate handling of sensitive information., • Attends relevant staff meetings to promote communication and execution of goals., • Completes special projects and additional tasks specific to the function of the department or as needed for the department, as directed by the supervisor., • Other duties as assigned within the scope of position expectations. The assigned work arrangement for this position may include a combination of remote and onsite work and will be determined based on operational needs, role responsibilities, and performance. Work arrangement expectations may be modified over time to meet organizational or programmatic requirements. Staff working remotely are responsible for maintaining a safe and appropriate workspace. • Ability to engage in extended periods of sitting, computer work, and sustained concentration to complete documentation, reporting, and program-related administrative tasks., • Ability to occasionally bend, reach, lift, carry, push, or pull training materials or equipment, generally not exceeding 30 pounds., • Possession of a valid driver’s license issued by the state of residence and the ability to successfully pass a motor vehicle record check, where driving is an essential function of the role., • Ability to travel occasionally to attend conferences, seminars, and professional meetings., • Ability to work non‑traditional hours on an occasional basis based on operational needs., • Employment is contingent upon the successful completion of required post‑offer pre‑employment background clearances, as well as any additional post‑hire background, compliance, or programmatic clearances required by the organization, funders, or applicable regulations., • This role supports compliance for regulated funding streams, including Early Head Start, through timely financial reporting, audit readiness, and escalation of material risks to executive leadership. Experience: Knowledge and experience with all components of Microsoft Office, MS SharePoint, or similar platforms. Trained and experienced as a birth and/or postpartum doula preferred. Education: Associate's degree required, Bachelor’s degree preferred. Licensure: N/A #IND1
