POSITION SUMMARY We’re looking for a reliable, organized Shipping Coordinator to manage our shipping operations and maintain a clean, efficient, professional workspace. This role oversees a small shipping room and office area, handling all shipping requests with accuracy and consistency. The ideal candidate is hands‑on, dependable, and able to go with the flow—comfortable shifting gears as the pace picks up and priorities change. In addition to managing shipments, this person will assist with general office needs and support the team wherever needed. RESPONSIBILITIES Shipping: • Packing and shipping of samples/POS (always have enough shipping supplies, pictures & logs, prepare sample shipments, tracking log), • Maintain sample/POS storage rooms – replenishing stock and keeping it in order., • Accurately & timely recording of all sample shipments to Operations., • Quarterly inventory reconciliation of storage room inventory, • Cost allocation management with UPS invoice statements, • Order shipping/packing supplies, ensuring sufficient inventory on hand, • Make suggestions and improvements to increase efficiency, • Maintain the organization and neatness of the office entry-way and shipping workspace, • Proactively communicate shipment status, delays, and solutions to relevant stakeholders, • Serve as a key liaison between internal departments and external carriers to support seamless operations Office: • Bring packages inside, sign for packages, inform employees of incoming packages, and keep package storage area tidy, • File logistics documents in filing cabinet, • Administrative support for all departments in the office: Filing, copying, creating meeting materials, Project Assistance etc., • Support office projects and events by picking up supplies or delivering materials to company events, • Assist with office and kitchen restock, • Other duties as required COMPETENCIES • Highly organized and detail-oriented, • “No job too small” mentality, • Positive approach to problem-solving, • Strong sense of urgency, Ability to take initiative, • Interested in learning and improving, • Passionate and hard-working with strong communication skills, • This role requires a collaborative professional who values teamwork and continuous communication to drive operational success, • Proficient in Microsoft Office (Outlook, Microsoft Teams, Word, Excel, etc.), • Prior experience in a Mailroom or Shipping Room a plus PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. • Ability to lift 40 lbs. as required, • Ability to stand for 30-minute intervals of time, • Ability to climb ladders, reach, and crouch for supplies WORKPLACE DETAILS: • Location: White Plains, NY 10601, • Schedule: Onsite – five days in-office, • Office hours: 9am to 5:30pm., • Commute: Just a 5-minute walk from the Metro-North Station, making it an easy and convenient ride to and from NYC COMPENSATION & BENEFITS: • Base salary range: $50,000 - $60,000/yr. exact compensation may vary based on skills and experience., • Medical, Dental, Vision plans, • Matching 401(k), • Generous PTO (Paid Time Off), • Short and long-term disability, • Many more...
