Job Description Position Title: Mail Clerk & Custodian FLSA Status: Non-Exempt Department: Agency-Wide Reports To: Director, Facilities & Plant Management Supervises: None Position Summary The Mail Clerk & Custodian is responsible for efficiently managing all incoming and outgoing mail, including sorting, distribution, and shipment processing. This role also ensures the cleanliness, sanitation, and overall upkeep of assigned facilities by following established custodial schedules. In addition, this position supports the Facilities Department, internal staff, and external contractors to maintain a high standard of cleanliness, organization, and operational efficiency across the campus. Primary Responsibilities Mail Clerk Duties • Manage all mailroom operations, including receiving, sorting, and distributing incoming mail, interoffice mail, and packages., • Ensure timely and accurate delivery to appropriate departments, locations, or individuals., • Prepare and process outgoing mail, including calculating postage, applying correct postage, and allocating costs to appropriate departments or cost centers., • Collect outgoing mail daily and verify proper labeling for accurate expense tracking., • Track and log deliveries, certified mail, and packages to maintain accountability., • Utilize major shipping carrier platforms and coordinate with delivery vendors to support efficient mail operations., • Maintain and operate mailroom equipment such as postage meters and scanners., • Monitor and maintain inventory levels of shipping and receiving supplies., • Clean and sanitize assigned areas to maintain a high level of cleanliness and hygiene, including restrooms, break rooms, offices, corridors, and common areas., • Remove trash and dispose of waste properly., • Refill soap, paper towels, and toilet tissue dispensers as needed., • Sweep and damp mop floors., • Wipe down vertical surfaces and dust horizontal surfaces., • Sweep, mop, vacuum, and dust assigned areas regularly., • Restock custodial supplies in closets and storage areas., • Assist other staff members as needed., • Monitor building conditions and promptly report maintenance issues, repairs, or supply needs to the supervisor., • Deliver custodial supplies to departments as directed., • Perform all other related duties as assigned. Position Requirements Education • Prior mailroom, shipping, and receiving experience preferred., • Prior custodial or facilities support experience preferred. Working Conditions • Environment: Office setting, • Schedule Range: Monday through Friday, 7:00 a.m. – 8:00 p.m. (Ideally M-F, 8a-5p), • Travel: Occasional, • Temp-to-Hire Driver Requirements • May be required to operate company vehicles for business purposes (e.g., deliveries, pickups, or transporting materials)., • Valid Texas driver’s license required for the appropriate vehicle class., • Subject to periodic motor vehicle record (MVR) checks., • Must meet company insurance requirements for drivers. Physical Demands • Regularly required to stand, walk, bend, stoop, kneel, climb, and reach., • Frequent use of hands and arms to handle tools, equipment, and materials., • Ability to lift and/or move up to 50 pounds; heavier items may require assistance or equipment., • May require travel between facilities, including transporting materials or equipment., • May be required to respond to urgent maintenance or safety situations requiring physical activity., • Must have sufficient vision, hearing, and communication abilities to safely perform job duties.
