Please review the job details below and then click “apply.” We're looking for someone to join our team as a GENERAL SERVICES COORDINATOR II who: The General Services Coordinator II is an administrative, analytical, and operational support position responsible for maintaining department data, analyzing service trends, preparing reports, supporting process improvement, and coordinating documentation across Facilities, General Services, preventive maintenance, vendor services, compliance support, emergency management support, department projects, and internal workflows. This position supports department leadership by converting work order activity, preventive maintenance records, vendor documentation, inspection status, project updates, and department workflows into accurate reports, dashboards, recommendations, and process improvements. The General Services Coordinator II assists with department planning, project tracking, SOP development, reporting, compliance documentation, service performance monitoring, and Microsoft Office-based records management. The role requires strong analytical thinking, attention to detail, professional communication, Microsoft Office Suite proficiency, and the ability to organize information across multiple sites, vendors, technicians, requestors, departments, and deadlines. Essential Functions: 1. Analyzes work order data, preventive maintenance records, vendor activity, inspection status, project updates, and unresolved site concerns to identify trends, recurring issues, aging items, service gaps, and operational risks., 2. Develops and maintains department dashboards, Excel trackers, reporting tools, schedules, logs, and recurring reports to support leadership visibility into Facilities and General Services operations., 3. Prepares weekly, monthly, and ad hoc reports summarizing work order volume, completion status, aging requests, preventive maintenance completion, vendor activity, inspection status, project updates, unresolved concerns, and compliance documentation status., 4. Maintains data accuracy and consistency across department trackers, reports, schedules, work order records, preventive maintenance logs, inspection files, vendor records, project documentation, and shared department files., 5. Supports department performance management by tracking key indicators such as open work orders, overdue items, response trends, completion trends, preventive maintenance compliance, vendor follow-up, inspection status, and site-level service needs., 6. Reviews department workflows and recommends improvements to intake, work order routing, preventive maintenance tracking, vendor coordination, documentation standards, reporting, escalation processes, and internal communication., 7. Coordinates department-level project management support for General Services and Facilities initiatives, including project schedules, action item logs, risk and issue tracking, meeting documentation, stakeholder follow-up, vendor coordination, and leadership-ready status updates., 8. Assists department leadership with organizing, tracking, and reporting on site initiatives, operational improvements, system rollouts, vendor transitions, preventive maintenance initiatives, facility projects, and cross-department workstreams., 9. Please see attached job description for additional functions. You'll be successful with the following qualifications: 1. Two or more years of experience in facilities administration, general services, healthcare operations, project coordination, data tracking, reporting, vendor coordination, maintenance administration, or related administrative/analytical support preferred., 2. Associate degree or bachelor-level coursework in Business Administration, Public Administration, Health Administration, Facilities Management, Project Management, Data Analytics, or a related field preferred. Equivalent experience may be considered in lieu of formal education., 3. Proficiency with Microsoft Office tools, including Outlook, Excel, Word, Teams, SharePoint, and OneDrive., 4. Intermediate Microsoft Excel skills preferred, including tables, filters, formulas, data cleanup, sorting, tracking logs, charts, and dashboard-style reporting., 5. Ability to maintain accurate trackers, reports, schedules, logs, meeting notes, SOPs, project documentation, vendor records, and department files., 6. Strong analytical thinking, problem-solving ability, attention to detail, and ability to identify trends, gaps, risks, and process improvement opportunities., 7. Strong professional and diplomatic communication skills, including the ability to communicate clearly with vendors, requestors, technicians, site leadership, department partners, and leadership., 8. Ability to handle and communicate details in a timely manner, prioritize competing requests, and follow through on open items., 9. Basic understanding of healthcare facility operations, Environment of Care, Life Safety, Joint Commission readiness, emergency management, inspections, preventive maintenance, and regulatory documentation preferred., 10. Knowledge of contract bidding, vendor proposals, service documentation, invoice routing, purchasing processes, work order systems, or vendor coordination preferred., 11. Experience drafting SOPs, workflows, procedures, job aids, checklists, forms, reports, or training materials preferred., 12. Experience supporting department projects, operational initiatives, system rollouts, vendor transitions, or cross-department workstreams preferred., 13. Strong customer service orientation and ability to present information in a business-friendly and user-friendly manner., 14. Knowledge and understanding of the mission and role of community health centers preferred., 15. Ability to travel to satellite facilities as needed for site walks, training, inspections, vendor coordination, implementation support, and department projects.
