For more information about MISSSEY, please go to our website at . Position Summary The Administrative Coordinator plays an important role in ensuring a smooth and efficient work flow in the office. Under the supervision of the Operations & Finance Manager, the Administrative Coordinator is responsible for administrative operations, including reception, data entry, information management, and personnel liaison. The Administrative Coordinator works in compliance with grants, contracts, and agency policies and procedures. The ideal candidate will be: able to improve and implement systems; reliable; personable; take initiative; committed to the self-determination of marginalized young people; able to work collegially with colleagues and collaboratively with members of the MISSSEY team; steadfast in their goal of efficiency. The ideal candidate for this position would: • Have a minimum of 2-year experience in providing administrative support, • Be professional, organized, able to multitask, and shift priorities as needed, • Be a continual learner deeply invested in women and girls, • Have ability to develop good rapport with community members, staff, supporters, and youth, • Have the ability to co-create a strong, reflective, highly productive, and caring culture Requirements: Duties and Responsibilities: Office Management (35%) • Provide general administrative and operational support within MISSSEY, • Maintain reception by answering the main phone line, • Receive, sort, and distribute agency mail, • Check general MISSSEY email accounts; respond or distribute emails to appropriate staff, • Assume responsibility for maintenance of office equipment, coordinating repairs and managing vendor relationships, • Maintain office supplies and promotional material by checking inventory, making orders, and organizing supplies, • Ensure a clean, safe, well-organized office, • Manage Salesforce database, • Data entry: add all contacts to Salesforce and Constant Contact, • Produce and send thank you letters to donors, • Create check requests for incoming bills and invoices and submit with coversheet weekly, • Ensure all forms of reimbursements have appropriate documentation and receipts attached, • Make deposits at banking institution and submit deposit log, • Supervise the tasks of administrative volunteers or interns; maintain volunteer files, • Input employee start date, anniversary and holiday records into Google Calendar, • Assist with employee files as needed, • Support in new staff orientation: clear out mailboxes and relabel, create badges for direct service staff, create and order business cards, prepare work area, • Provide administrative support to the ED, • Support Grants & Contracts Coordinator with grant and contract reporting deadlines, • Implement goals and objectives of the organization, • Handle sensitive information in a confidential manner, • Collaborate with MISSSEY team to support organization-wide initiatives, • Actively participate in supervision, staff meetings and trainings, • Minimum 2 years’ experience providing administrative support in a nonprofit setting, • Have excellent people skills; able to build rapport with community, staff, youth, funders and partners, • Highly organized and systems oriented, • Have a solid understanding of Excel spreadsheets, Microsoft Office, Google Suites; experience with Salesforce preferred, • Experience working in an environment serving African American cis, trans, and non-binary women and girls, • Occasional lifting of up to 50 lbs, • Requires computer use each day, including typing for many hours per day, • Requires ability to use a keyboard, monitor, cell phone, and calculator, • Requires the ability to communicate verbally, both in person and on the telephone, • Occasional outdoor activities, • In Person Current driver's license, reliable vehicle, proof of liability insurance coverage, and a clean driving record preferred as occasional travel will be required A criminal background check including fingerprint clearance TB clearance Compensation & Benefits • Hourly Pay: $26 - $32 an hour (commensurate with experience), • Status: non exempt, • Insurance: 100% employer-covered Medical, Dental & Vision, • Other Benefits:, • Long-Term Disability & Life Insurance, • Employee Assistance Program (EAP), • SIMPLE IRA with employer match, • Generous PTO and paid holidays, • 1-week paid winter break, • Vacation available after 90-day period, • Paid sick time compliant with CA law, • Family and pet bereavement leave Equal Opportunity Employer MISSSEY is an equal opportunity employer.
