POSITION OBJECTIVE The Regulatory Affairs Manager & Operations Specialist plays a critical role in ensuring the global regulatory compliance, operational coordination, and successful execution of Goldfield & Banks’ product portfolio across perfumes, home collection, ancillary products, and promotional items. This role requires a hands-on and experienced professional capable of independently managing complex international regulatory topics while also supporting day-to-day operational execution linked to product launches, artwork validation, supply coordination, packaging updates, and cross-functional project management. The ideal candidate combines strong regulatory expertise with operational agility, business pragmatism, and the ability to coordinate multiple stakeholders in a fast-paced luxury environment. REPORTING STRUCTURE This position will report directly to the Operation Manager and ultimately the Chief of Operations. No subordinates report directly to this position. The candidate will work closely with both internal (New Product Development, Marketing, Supply Chain, Production, Quality, and International Distribution teams) and external (Regulatory consultants, laboratories, manufacturing and logistic partners, packaging suppliers, international authorities and certification bodies, and packaging suppliers) stakeholders. PRINCIPAL DUTIES 1. Regulatory Affairs & Product Compliance • Ensure global regulatory compliance across all product categories and markets (EU, UK, USA, Middle East, APAC, etc.). • Independently manage and maintain all regulatory documentation including: o PIF/DIP o SDS o IFRA certificates o Safety assessments o Technical documentation o Responsible Person documentation o Claims support files o Regulatory tests (stability/compatibility/patch tests etc) • Lead and anticipate updates related to evolving cosmetic and fragrance regulations including IFRA amendments, allergens, REACH/CLP, SCCS opinions, CMR substances, MOCRA, and local market requirements, to ensure applications within deadlines • Review and approve packaging artworks, labels, and product claims to ensure regulatory conformity and operational accuracy. • Coordinate and work closely with the logistic manager for product registrations and notifications across international markets (CPNP, MOCRA, SCPN, Middle East registrations, Asian/Chinese registration, EPR schemes, CITEO, etc.), by ensuring to provide the correct documentation needed from different partners • Act as key internal reference for regulatory interpretation and compliance-related decision making. • Manage relationships with external regulatory consultants and laboratories, ensuring consistency, responsiveness, and quality of deliverables. • Participate in supplier compliance reviews and support qualification of new suppliers or components from a regulatory perspective. • Support sustainability and CSR initiatives by ensuring compliance with environmental regulations and eco-design requirements. • Proactively monitor international regulatory developments in the perfume and cosmetics industry. • Evaluate new regulations, assess business impact, and recommend action plans to internal stakeholders. • Communicate updates and train relevant teams to ensure consistent understanding and compliance. 1. Operational Coordination & Product Lifecycle Management • Coordinate operational follow-up of product launches, reformulations, packaging updates, and discontinuations. • Ensure smooth execution and alignment between regulatory timelines, production planning, artwork approvals, and launch schedules. • Monitor and track product changes linked to formulas, raw materials, packaging components, or suppliers. • Maintain accurate regulatory and product data within internal tracking systems and databases. • Assist in risk assessment and escalation management related to compliance or operational disruptions. 1. Operations, Purchasing and Supply Chain Support As part of the Operations team, you will also assist and support on some business operations tasks, including : • Participate in day-to-day operational follow-up of product launches, replenishments, and ongoing production activities • Assist in production planning and manufacturing timelines with suppliers and subcontractors to ensure on-time deliveries. • Support procurement activities including supplier coordination, quotation follow-up, lead-time monitoring, and delivery scheduling. • Assist in managing production schedules and priorities in coordination with operations and supply chain teams. Participate in stock management activities by monitoring inventory levels, replenishment needs, and operational risks. • Support continuous improvement initiatives aimed at enhancing supply chain efficiency, operational visibility, and coordination across departments. • Contribute to accurate maintenance of operational data, purchase tracking, supplier information, and product references within ERP systems and internal tracking tools. • Coordinate closely with internal teams including Operations, Supply Chain, Marketing, Sales, and Customer Service to ensure smooth operational execution. 1. Regulatory Intelligence & Continuous Improvement • Proactively monitor international regulatory developments within the fragrance and cosmetics industry. • Assess business impact of new regulations and recommend implementation plans., • Prepare internal regulatory summaries, action plans, and practical guidance for relevant stakeholders. • Train and support internal teams on regulatory and compliance topics when needed. KEY SKILLS & EXPERIENCE 1. Education: Degree in chemistry, cosmetology, toxicology or scientific equivalent, 2. Experience: • Minimum 3 years in regulatory affairs or product compliance, within the fragrance, cosmetics, beauty, or luxury industry. • Previous experience in an international and fast-paced environment strongly preferred. • Experience managing regulatory topics across multiple regions and product launches. • Exposure to operational coordination or supply/product lifecycle management 1. Technical Knowledge: • Strong understanding of export regulatory frameworks, product registrations, and cosmetic labeling requirements. Solid knowledge of EU Cosmetic Regulation, IFRA standards, Reach/CLP, CPNP, SCPN, MOCRA, international labelling requirements. • Good understanding of packaging compliance and environmental regulations., • Excellent communication and teamwork skills, and capacity for close follow up. 1.
