We may not be able to review CVs submitted without this Job Purpose To support the business in the day to day by managing logistics, coordinating projects, handling operational processes, and ensuring smooth administrative organisation across all business areas including product launches, staff management, and external communications. Key Responsibilities Project & Operations Support • Coordinate and track ongoing projects, ensuring deadlines and deliverables are met., • Manage logistics for production, deliveries, and product samples., • Liaise with suppliers, partners, and internal teams to ensure seamless communication., • Keep project documentation, trackers, and shared folders up to date., • Allocate and prioritise resources across multiple concurrent projects. Administrative & Organisational Tasks • Manage staff holiday calendars and track time off., • Complete forms, applications, and documentation for business needs (e.g., retailer submissions, certifications, funding applications)., • Support HR admin tasks, contracts, onboarding checklists, etc., • Prepare reports, and meeting notes as required. Process & Systems • Streamline operational systems (e.g., file management, project tracking tools, forms)., • Identify and implement small process improvements to save time and increase efficiency., • Support finance admin such as PO tracking or expense reconciliation. Extra occasional Support • Provide executive assistance to the Director, including scheduling, travel bookings, and communication follow ups., • Handle ad hoc tasks and projects as needed in a fast paced environment. Skills & Experience • Strong organisational and multitasking abilities., • Must: At least 5 years’ experience in project coordination, operations, or administration., • Must: Proficient in using project management tools (e.g., Slack, Trello, Asana, or similar)., • Must: Thrives in a collaborative, fast-paced environment., • Excellent written and verbal communication skills., • High attention to detail and accuracy in completing forms and reports., • A proactive and hands-on approach; able to manage competing priorities independently., • Experience in FMCG, food manufacturing, or startups is a plus.
