Job Summary The Timecard & Billing Coordinator is responsible for customer invoicing activities and timecard administration within the Service Department. This hybrid role ensures accurate billing in accordance with contractual terms and company policies, while also managing technician timecard submissions, approvals, and payroll support. The ideal candidate thrives in a high-volume, deadline-driven environment and demonstrates exceptional attention to detail, organizational skills, and the ability to manage multiple client accounts and technician records simultaneously. This position works closely with the Service Department and reports directly to the Billing Manager, with primary responsibilities including invoice review, preparation, and submission, timecard processing, and analysis of unbilled work to ensure revenue integrity and payroll accuracy. Key Job Responsibilities • Collect, review, and verify technician timecards for accuracy and completeness., • Ensure all time entries are properly coded to the correct job, work order, and service type., • Monitor and resolve discrepancies in timecard submissions, such as missing hours, incorrect job codes, or incomplete documentation., • Communicate with technicians and Service Managers to resolve timecard issues and ensure timely submission., • Enter approved timecard data into payroll or ERP systems for processing., • Maintain records of timecard submissions, approvals, corrections, and payroll adjustments., • Support payroll processing by providing accurate and timely timecard data to the Payroll Department., • Track overtime, paid time off, and other payroll-related metrics as required., • Assist with compliance to company policies, labor laws, and contractual requirements related to timekeeping., • Provide reporting on timecard trends, errors, and compliance as requested, • Generate and send accurate customer invoices in a timely manner., • Review completed work orders for accuracy, completeness, and proper documentation., • Verify labor hours, trip charges, materials used, and inspection completion before invoicing., • Apply contract terms, approved quotes, or special pricing agreements when generating invoices., • Collaborate with internal departments to ensure timely resolution of billing holds or delays., • Assist with achieving daily billing goal and month-end billing processes to ensure limited hours remain on technician WIP reports., • Follow any other job-related duties/functions requested by the supervisor. Requirements: • High school diploma or equivalent required; associate degree in business, accounting, or related field preferred., • Minimum of 2 years of experience in billing, invoicing, timekeeping, or related administrative/accounting functions, ideally within service, industrial, or technical environments., • Proven ability to manage high-volume billing operations, multiple client accounts, and technician timecard records with accuracy and efficiency., • Experience working in a multi-branch or field service environment is preferred., • Understanding basic revenue recognition principles and payroll/timekeeping practices., • Strong attention to detail and high level of accuracy in data entry and documentation., • Ability to collaborate effectively with Technicians, Service Managers, and Payroll staff., • Excellent written and verbal communication skills with a professional demeanor., • Ability to thrive in a fast-paced, technology-driven service environment while managing competing priorities., • Proficiency in Microsoft Excel and general accounting, payroll, or ERP software; ability to learn new systems quickly.
