Position Summary We’re looking for a high-performing, positive, detail-obsessed Patient Care & Executive Specialist who thrives on structure, follow-up, and human connection. You’ll be the primary liaison between our patients and the ClearCardioTM team — from their first introduction to our service, through their analysis and treatment plan, and into long-term care. You’ll also act as the right hand to our Chief Medical Officer, managing the doctor’s schedule, meetings, podcast interviews, and ensuring every day runs smoothly. You’ll lead our daily internal team huddles, keep everyone on track, and create a seamless experience that patients remember — and rave about. This is a non-clinical, remote position ideal for someone with experience in executive assistance, client services, practice management, or patient coordination. What Success Looks Like: • Every patient feels fully supported from day one — before, during, and after their analysis, • Patients understand next steps and feel confident in our ongoing care, • Referrals and testimonials are increasing because of the positive experience you create, • The doctor’s professional schedule is efficient, focused, and friction-free, • The ClearCardioTM team starts each day aligned and organized, thanks to your daily huddles, • Nothing falls through the cracks — because your follow-up game is unmatched Key Responsibilities Patient Experience & Journey Coordination • Serve as the patient’s main point of contact from inquiry through long-term care, • Guide patients through what to expect at every step of the process, • Schedule key post-analysis calls like nutrition consults and follow-ups, • Ensure patients have access to their portal (Akute) and understand their results, • Maintain regular communication with patients via email, phone, and automated workflows, • Collect testimonials, encourage referrals, and check in on overall satisfaction, • Answer general questions and direct any medical concerns to appropriate team members Executive Support & Operations • Manage the professional calendar for our Chief Medical Officer, • Schedule and confirm internal meetings, patient consults, interviews, and podcast recordings, • Ensure the doctor is prepared and on time for all appointments, • Anticipate scheduling needs and conflicts in advance, • Support logistics for webinars, interviews, and online events, • Keep internal documents, schedules, and calendars organized and accurate, • Lead daily team huddles to align the ClearCardioTM staff for the day ahead Tools & Tech You’ll Use (Training Provided) • Zoom – video calls with patients and internal meetings, • Slack – internal team communication, • Google Calendar / GSuite – scheduling and file sharing, • GoHighLevel (GHL) – managing communications and patient flows, • CRM & Patient Portals (e.g. Akute) – light use, non-clinical access What We’re Looking For • 3+ years experience in executive coordination, client service, and administrative support, • Exceptional communication skills — warm, articulate, professional, • Master of follow-up — nothing gets missed or forgotten, • Positive, high-energy attitude — someone who makes things happen, • Strong organizational skills — thrives on systems, details, and deadlines, • Tech-savvy and coachable — can learn new tools and use them well, • Takes initiative — sees what needs doing and handles it before being asked, • Experience working in health, wellness, private medical, or coaching environments is a plus, • Experience with event scheduling, podcast booking, or executive media is also a bonus Position Details • Type: Full-Time, Remote, • Location: Open, but must overlap with U.S. Central Time zone for daily team huddles, • Compensation: Competitive, based on experience, • Schedule: Monday–Friday, with flexibility required for key meetings, • Start Date: ASAP Company DescriptionWe are revolutionizing the way heart disease is detected and prevented.
