Requirements from the client: ** 5+ years of Multifamily (Maintenance) Facilities Leadership experience **Operational Leadership - Managing a team of 3 The Operations Associate Director works in close partnership with the Operations Director to provide both strategic and hands-on leadership for all operational functions at The Gatehouse campus. This role is responsible for ensuring safe, efficient, and reliable management of campus facilities, infrastructure, and operational systems. Additionally, the position leads efforts to integrate and optimize technology across operations platforms, with a special focus on security technology. As the key escalation point for emergency on-call coverage when other team members are unavailable, the Operations Associate Director applies practical maintenance abilities and technical expertise to quickly assess and resolve urgent operational issues. This individual also manages technology maintenance, upgrades, and integration initiatives to ensure seamless operations campus-wide. Key Responsibilities: Strategic Leadership & Team Oversight • Provide direct supervision and support to the Facilities Manager, Facilities Support Manager, Facilities Lead, Facilities Technician, and Operations Administrative Assistant., • Set team goals, track KPIs, and plan long-term benchmarks in alignment with The Gatehouse’s mission and annual objectives., • Organize regular one-on-ones and team meetings; oversee ongoing training and professional development., • Ensure all campus facilities, residences, common spaces, and outdoor areas are safe, well-maintained, and visually appealing., • Manage preventative maintenance, unit turnover, asset planning, and make-ready operations., • Oversee implementation and enhancement of the campus CMMS (MaintainX) and similar systems for scheduling, vendor management, and asset tracking., • Evaluate and refine standard operating procedures for maintenance, security, emergencies, and daily activities., • Partner with the Operations Director and senior leadership to develop, implement, and monitor the annual operations budget., • Review procurement requests and vendor contracts; evaluate performance and value., • Ensure compliance with local, state, and federal regulations for building safety, emergency preparedness, and facility operations., • Manage campus-wide emergency response plans, access control systems, and incident reporting., • Lead or support facility renovations, capital improvements, and infrastructure upgrades., • Coordinate with leadership and contractors to ensure projects meet timelines, budgets, and scope., • Liaise between operations and executive leadership to align strategic priorities and communicate updates., • Provide recommendations for improving efficiency, reducing costs, and extending asset life., • Track and report KPIs, including maintenance response times, vendor performance, safety incidents, and project milestones., • Facilities Manager, • Facilities Lead, • Facilities Technician, • Operations Support Manager, • Operations Administrative Assistant, • On-site vendors, • Work alongside a small, mission-driven team (30 employees)., • Excellent benefits, including 401K match, full medical/dental/vision coverage for employees, short/long-term disability, employee assistance, paid bank holidays, a full week off for July 4th, and 10 days off at Christmas., • Access to an on-site childcare facility (operated by a third party) with 50% off tuition for children ages 6 weeks to 13 years.
