Role Summary: As the Executive Assistant to the Chief Technology Officer (CTO), you'll be the central point of contact for a range of administrative and operational activities. While your primary responsibility is to the CTO, you'll also partner with the broader Tech leadership team for key projects and events. The CTO is based in New York City, and the leadership team operates in a hybrid, multi-time zone environment, with both in-person and remote members. This role involves a wide variety of administrative services, from routine tasks to complex, high-impact projects, all of which are essential to the efficient operation of the office. Key Qualifications: • Bachelor's degree or equivalent combination of education and experience., • Minimum of 5 years of relevant experience working with and supporting an executive office team, • You get things done by engaging in high level teamwork and flexing your interpersonal skills., • You are organized and able to handle multiple tasks with a sense of urgency., • A natural problem-solver, who is also intuitively analytical and creative., • Ability to work in a fast-paced work environment., • Ensures confidentiality, diplomacy, and tact at all times., • Intermediate to expert level competence with MS Office, Google Suite, expense management systems, communication and presentation tools., • Extremely organized with exceptional time management skills and able to prioritize efficiently, • Can handle sensitive information and maintain strict confidentiality, • Strong attention to detail., • Excellent problem solving ability., • Strong oral and written communication skills., • Comfortable with ambiguity and passionate about working in a fast paced, dynamic environment. Role Description: • Manage complex calendars - prioritizing appointments and proactively resolving scheduling conflicts., • Makes travel arrangements required, including booking flights, hotel accommodation, car rental, and providing directions., • Organizes and manages cost estimates for the Technology team’s engagement and travel calendar., • Responds to phone, email and in-person inquiries – providing general information and referring inquiries to appropriate sources based on a broad knowledge of procedures, protocols and personnel., • Organizes and schedules meetings, including contacting participants, booking rooms, ordering refreshments, and arranging for parking as required., • Conceptualizes and executes a variety of special events and projects for the leader's office and a large-scale organization. This includes overseeing existing engagements, such as monthly town halls and team offsites, as well as proposing and developing new ideas that promote team connectivity and engagement. Responsibilities range from managing invitations and communications to coordinating facilities and catering arrangements., • Provides support to various meetings the leader chairs by typing and distributing minutes, preparing agenda packages, arranging meeting dates/times/rooms, contacting participants, and extensive follow-up on items as needed. Attend meetings, as required, to record minutes., • Completes and submits travel and expense claims., • Maintains records and oversight of special project and event expenditures for cost center, • Maintains calendar for time off for leadership team, • Prepares the leader’s calendar and maintains a tracker with relevant and pertinent meeting material as identified by the leader., • Manages email distribution lists for the organization, • Be in-person In the office 4 days a week, • Proactively identifies and takes on opportunities to expand scope, such as maintaining the team's Confluence homepage, drafting communications for team updates, or leading ad-hoc projects to improve team operations.
