Job Description We are seeking a highly organized and professional Administrative Assistant/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical support. Responsibilities • Greet visitors and clients at the front desk with professionalism and courtesy, • Manage multi-line phone systems, directing calls appropriately and taking detailed messages, • Schedule appointments, manage schedules, and coordinate appointments using Google Workspace tools, • Perform data entry, maintain filing systems, and ensure accurate record-keeping, • Handle correspondence via email and phone, demonstrating excellent phone etiquette and customer support skills, • Assist with handing out pay checks and applications, • Support office management tasks including ordering supplies and organizing documents, • Run background checks, • Take copies of ID's, • Provide administrative support to staff members, including calendar management and personal assistance tasks when required, • Maintain a clean and organized reception area to promote a professional environment Requirements • Proven experience in office administration, clerical work, or receptionist roles, • Google Workspace, and data entry tools, • Strong organizational skills with the ability to multitask effectively in a fast-paced environment, • Excellent written and verbal communication skills; bilingual abilities are a plus but not required, • Familiarity with multi-line phone systems, • Demonstrated attention to detail with proofreading and document review skills, • Ability to handle sensitive information discreetly and maintain confidentiality, • Strong time management skills with the ability to prioritize tasks efficiently, • Prior experience in customer service or customer support roles is advantageous, • Professional appearance and demeanor with excellent phone etiquette This position provides an engaging work environment where organizational excellence and customer service are valued.
