The RoleWe’re looking for a Client Services Coordinator / Receptionist to serve as the first point of contact between our firm and the public, welcoming clients, advisors, vendors, and colleagues with professionalism and warmth. This role is central to the client’s experience, ensuring that from the very first interaction to the final archiving of records, clients feel valued and cared for. In addition to reception duties, this position supports office administration and assists with clerical and client service tasks under the direction of the Office Manager.What You'll Do • Professionally greet and check in to all clients and visitors, ensuring they feel welcome and comfortable, • Manage a multi-line phone system: answer calls, route messages, monitor general voicemail, • Gather initial client information and guide new clients through our process, • Prepare beverages and maintain a professional, organized reception and conference room environment, • Schedule and coordinate client appointments, walk-ins, and attorney calendars, • Process payments and provide receipts for cash, checks, and credit cards, • Contact clients and prospects to gather information or schedule appointments, • Register clients for seminars, webinars, and events, • Prepare attorney-client files and assist with drafting correspondence (including thank-you notes), • Handle daily mail, certified/priority packages, and billing preparation for mailing, • Support attorneys and staff with copying, scanning, collating, and assembling legal documents and client portfolios, • Order and coordinate lunches, RSVP attorneys for events, and support firm meetings as needed, • Serve as a witness or Notary Public (if commissioned), • Assist with general office stocking, upkeep, and special projects assigned by attorneys or the Office ManagerHow We'll Support You, • Clear role expectations and support from leadership, • Opportunities for professional development and growth within the firm, • A welcoming team culture that values collaboration, client service, and excellenceWhat We're Looking For, • 2–3 years of professional office experience (law firm preferred but not required), • High school diploma required; Associate degree or equivalent experience preferred, • Proficiency with Windows-based systems (Word, Excel, Outlook, Internet research), • Experience with legal practice management software (CARET, Amicus Attorney, Time Matters, PCLaw, ProLaw, or similar) preferred but not required, • Strong organizational, multitasking, and prioritization skills, • Excellent verbal and written communication abilities, • Ability to type 40–50 wpm and handle a multi-line phone system with ease, • High attention to detail and accuracyAttitude & Interpersonal Skills, • Friendly, professional, and able to make others feel at ease, • Strong business courtesy and confidentiality at all times, • Dependable, punctual, and loyal to the firm, • Organized, detail-oriented, and enthusiastic team player, • Flexible, adaptable, and eager to learn new systems, • Self-motivated with a strong work ethic and accountability, • Image-conscious, representing both self and firm with professionalismBenefits, • 401K retirement plan, • Vacation time, • Health benefits paid by the firm (excluding vision)
